Job Summary: The Project Coordinator at Alco Investment Company will work independently and collaboratively in planning, budgeting, contracting, coordinating, communicating, managing, and successfully closing projects associated with asset management operations. The areas of work include but are not limited to capital projects, tenant moves, building energy performance, and special facilities projects. The Project Coordinator manages the project life cycle as assigned, ensuring timely and cost-effective delivery while maintaining compliance standards. Alco Investment Company owns and manages approximately $1 billion of assets, including wholly owned and self-managed real estate assets, joint venture partnerships, venture capital investments, private equity investments, and public equities. The Project Coordinator will directly support the self-managed portfolio comprising over 3 million square feet of real estate.
Required Essential Job Functions/Duties: **
Tenant Improvement Projects**
1. Work closely with the Leasing Team and Director of Facilities to develop comprehensive project plans for Tenant Improvement works. Assist in the creation and monitoring of project budgets.
2. Serving as the central point of contact, coordinating logistics, ensuring effective project management, and providing comprehensive oversight of external vendors and internal teams throughout the Tenant Improvement process.
3. Review and inspect Tenant Improvement work scope and plans tenants submit. Collaborate with the Project Team to approve design decisions.
4. Facilitate effective communication between internal teams, tenants, and vendors.
5. Develop and maintain project schedules, ensuring timely completion of Tenant Improvement projects aligning with the date commitments provided in the lease.
6. Oversee the day-to-day progress of projects, ensuring adherence to timelines and budget and making adjustments as necessary.
7. Track the due diligence process, scheduling, & change orders. Conduct regular site inspections to verify workmanship and compliance.
8. Coordinate vendors and internal teams to perform punch lists when necessary.
9. Maintain accurate project documentation, including contracts, permits, and other relevant records.
Tenant Move-in and Move-out Processes
1. Collaborate with the Property Management teams to plan and coordinate tenant move-in and move-out processes.
2. Conduct thorough inspections and develop comprehensive checklists and timelines for the tenant move process.
3. Serve as tenants' primary point of contact during move-in and move-out processes.
4. Coordinate repairs, cleaning, and maintenance with vendors and the internal team to meet the lease expectations.
5. Maintain accurate records of move-in and move-out processes, including inspection reports and photos.
6. Address tenant inquiries and concerns related to move-in and move-out processes.
7. Obtain quotes and manage budgets for associated works as necessary.
Capital Projects
1. Collaborate with the Director of Facilities and Portfolio Manager to develop detailed project plans for capital initiatives.
2. Track the due diligence process, scheduling, & change orders with contractors and vendors. Serve as a liaison between the internal team and vendors.
3. Support the development of budgets and assist in procurement processes.
4. Coordinate with architects, engineers, and contractors to ensure project requirements are clearly communicated and executed. Collaborate with the Project Team to approve design decisions.
5. Maintain accurate project documentation, including contracts, permits, and technical specifications. Ensure agreements are properly executed and maintained.
6. Conduct regular site visits to ensure adherence to engineering standards.
7. Manage the overall project from initiation to closeout, ensuring it is completed on time, within budget, and to the required quality standards.
8. Identify potential risks and challenges during project execution and collaborate with the Director of Facilities and Portfolio Manager to develop mitigation strategies.
Special Facility Projects
1. Administer the completeness of the Yardi Facilities Manager database, including the full input of building equipment data and the setup of performance management inspections and maintenance schedules.
2. Track and manage building performance policies. Report and update the asset management team on the regulatory mandate and schedules. Create comprehensive plans for compliance participation and reward application.
3. Stay informed about local building codes, regulations, and industry standards.
4. Support permitting, environmental reporting, insurance, and governmental compliance projects.
5. Other facilities projects as assigned.
Meeting, Reporting, and Communication:
1. Create and maintain project trackers for project status, highlighting key milestones and timelines. Actively maintain the records to ensure accuracy and completeness.
2. Provide real-time updates on project status during team meetings.
3. Coordinate and manage all project-related emails and correspondence to ensure timely response and effective communication.
4. Collaborate with team members to address inquiries and provide information required for project completion.
5. Review and approve invoices associated with the directly managed projects.
6. Maintain positive relationships with tenants in support of Alco branding.
