    Job Description

     

    As Alena Museum’s Admin Manager you will work with Creative Director (Seven Asefaha) and be a crucial part of fulfilling our mission to provide critical safe spaces for the African diaspora and beyond, and challenging systems of white supremacy through public art activism. Your role will entail designing and managing the systems of the organization in a time of expansion and growth, with an eye towards building a team and stable organizational infrastructure.

     

    Major Responsibilities: 

    • Support Creative Director and Board of Directors to design and manifest Alena Museum’s programs and business model.
    • Finance Admin: Supporting Creative Director and Bookkeeper to keep financial records in order, ie. invoices, receipts, payments, deposits, etc.
    • Organizational Project Management: manage scheduling, deadlines and project completion for infrastructural aspects of the organization.
    • Correspondence: Support Creative Director to keep up regular communication with stakeholders through email, phone and other platforms.
    • Space management: Manage building rentals & collect payments from tenants. Manage Facility Manager to maintain and improve physical building sites and maintain supply inventories. 
    • Artist Interface: Manage relationships with artists and collaborators, negote and implement contracts, troubleshoot & solve problems.
    • Organizational systems: Assess, design and manage organizational systems, ie. GoogleDrive & Calendar, Materials Inventory, communication platforms, etc.
    • Grants Administration: Maintain a grants deadline calendar, project manage proposal completion & reporting, handle technical aspects of grants process.

     

    Knowledge and Skills:

    • Familiarity with gmail and google apps a huge MUST.
    • Strong written communication skills; ability to write clear, structured and articulate copy.
    • Impeccable attention to detail.
    • Ability to meet multiple, competing deadlines, and prioritize work accordingly.
    • A creative mind with the ability to create solutions on the fly.
    • Experience and skill in managing people, as well as ability to work independently. 
    • Strong contributor in team environments.
    • This position requires a proactive individual who takes initiative and ownership, offers thoughtful suggestions, uses good judgment, and follows through on all aspects of a project. It requires an ability to multi-task effectively while staying focused in a busy environment. Excellent computer skills are a must.

     

    Preferred Qualifications:

    • Minimum of 3+ years of Admin work and Project Management 
    • Previous experience with nonprofit and arts production experience.
    • Ability to manage up and take initiative in a fast-paced, fluid, and creative environment.
    • Passionate about social justice issues and cultural displacement/gentrification. 
    • Cultural competency interfacing with BIPOC cultural workers.

     

    Schedule & Pay:

    • Salary position at 55% FTE (average of 22 hours per week)
    • Possibility to grow into full time position over time
    • Calculated at $25-$32/hour depending on experience
    • No benefits currently
    • Flexible schedule, with much of work remote, but ability to show up periodically on site at Oakland locations required.
