    JOB DESCRIPTION

    Position Status: Full-Time with one flex-day.

    ALL SQUARE IS SEEKING AN EXECUTIVE ASSISTANT TO JOIN OUR GROWING TEAM!

    The Executive Assistant will support our leadership (i.e., All Square’s CEO, Executive Director, Directors and board of directors) to provide clerical, organizational, systems support as well as strategic operational on systems improvement.

    We are looking for someone who is supportive, creative, honest, intelligent, caring and has a desire or passion for promoting justice specifically as it relates to those impacted by mass incarceration. You will be given tremendous autonomy, responsibility and flexibility and, in return, we are looking for candidates who demonstrate a deep desire to dig in and go above and beyond.

    All Square is a nonprofit social enterprise that invests in those impacted by mass incarceration. We create innovative programs and ideas to transform systemic injustice—all towards a world where the harms created by the criminal justice system have been healed.

    WHAT YOU'LL DO…

    · Manage the CEO's and Executive Directors schedule & calendar while focusing on maximizing their time, whenever possible. This includes planning travel.· Manage the organizational schedule & calendar while focusing on maximizing the team’s time, whenever possible. This includes planning and travel.

    · Own & be responsible for important projects & initiatives as assigned. This could include anything from planning and executing company-wide initiatives and/or preparing for a philanthropic presentation.

    · Organize, plan and attend weekly, monthly, quarterly leadership and executive meetings and off-sites. This includes partnering with leaders to understand objectives & creating agendas/schedules.

    · Handle communications & outreach to employees, clients, vendors, etc. with a focus on building relationships & prioritizing necessary communications to the CEO and Executive Director.

    · Oversee organizational systems (payroll, info inbox, incoming mail, Dream Lab scheduling, merchandise inventory, annual filings, payroll, etc) and help to implement systems for process improvement. Including, but not limited to, an operational calendar and building maintenance calendar.

    · Support CEO, Executive Director and Directors with administrative tasks including employment verification forms, employee onboarding paperwork and filing, printing, faxing, etc.

    · Maintain the administrative operational oil of the organization by keeping office supplies and inventory stocked.

    · BOARD OF DIRECTORS SUPPORT

    o Arrange and handle all logistics for Board of Directors and Board Committee meetings and events: schedule meetings; draft agendas; develop, compile, distribute pre-meeting materials, assemble presentation, and manage logistics for in-person meetings (ordering food, setting up the room, etc).

    o Ensure the safety and accuracy of all Board records and minutes, provides notice of meetings of the Board and Committees.

    o Prepare minutes of Board meetings and committee meetings.

    o Update and maintain Board and Committees’ email lists.

    ● Can work autonomously with discipline and well collaboratively with the team;

    ● Have a very thoughtful, approachable, and caring disposition;

    ● Be an exceptional verbal and written communicator;

    ● Strong office skills (e.g.Google Suite, Microsoft Office, etc.).

     

    QUALIFICATIONS:

    ● High school diploma (preferred)

    ● Minimum 5 years of previous experience as an Executive Assistant

    ● Demonstrated skills at socio-economic and cultural sensitivity and the ability to work with a diverse group of people

    ● Excellent written and verbal communication skills

    ● Strong attention to detail and organizational skills

    ● Strong interpersonal skills and the ability to work well with teams and independently.

    ● Advanced computer skills with proficiency in Google Workspace, Microsoft Office, etc.

    ● This position is a hybrid, working part time in the office and part time remotely

     

    COMPENSATION

    Starting annual salary range between $48,000 - $52,000 with significant growth opportunity as programming expands. Health, dental, vision, 401k.
