Responsibilities: • Welcome fellow employees, clients, and visitors when they enter the building and give them any pertinent information or directions • Manage incoming and outgoing mail and handle deliveries • Respond to incoming phone calls and emails and make sure the right people receive all important information Warm and Inviting Ambassador: • Serve as the friendly face and voice of our agency, extending a warm welcome to callers and visitors, and creating a positive first impression Build Lasting Connections: • Forge meaningful relationships with clients, potential clients, and our partner companies, utilizing various communication channels such as phone, email, and written correspondence Team Collaboration and Support: • Collaborate seamlessly with colleagues by assisting in client and prospect follow-ups, contributing to a unified and supportive team environment Responsive Client Care: • Provide timely responses to client inquiries, whether through phone conversations or electronic communications, ensuring their needs are met promptly and efficiently Efficient Record Management: • Maintain organized client files and handle routine correspondence between our agency and clients or partner companies. Qualifications: • At least one year of receptionist or administrative assistant, experience, or similar preferred • Well-versed in taking telephone calls and handling stressful situations • Displays impeccable interpersonal, time management, organizational, and customer service skills • Has previous experience with word processing programs and basic computer skills • Must have graduated high school, received a G.E.D. or equivalent Welcoming Demeanor: • Exhibit a warm, friendly voice and a pleasant in-person presence that puts visitors and callers at ease Exceptional Communication: • Excel in both verbal and written communication, ensuring clear and effective interactions Bilingual Proficiency (Spanish): • Fluently communicate in Spanish, a valuable asset that broadens our ability to serve a diverse clientele Professional Attire: • Present yourself in appropriate and polished business attire, reflecting the professional image of our organization Tech-Savvy Efficiency: • Showcase proficiency in Microsoft Word, Excel, and Outlook, streamlining administrative tasks with ease Swift and Accurate Typing: • Demonstrate the ability to type quickly and accurately, enhancing efficiency in data entry and correspondence Organized and Punctual: • Maintain a structured and organized approach to tasks, consistently adhering to schedules and protocols Phone System Proficiency: • Familiarity with multi-line phone systems, enabling you to manage calls efficiently and professionally Exemplary Personal Qualities: • Uphold a comprehensive range of personal qualities, including patience, respectfulness, reliability, trustworthiness, friendliness, supportiveness, articulateness, kindness, ethics, and unwavering honesty We invite outstanding candidates to apply, as your exceptional skills and qualities will contribute significantly to the positive image and efficiency of our organization. Compensation: $18 - $20 hourly
