    Compensation: $15.00 - $19.00 per hour commensurate with experience & ability

    Property Management Administrative Assistant SCHEDULE: Monday -- Friday 9:00 am -- 5:30 pm

    REPORTS TO: Office Manager

    SUMMARY: The Property Management Administrative Assistant will be primarily tasked with assisting the Office Manager with general matters within the office environment including customer service support to callers, forwarding calls, answering emails with general information, providing general administrative office assistance, preparing and mailing notices, inputting data, and all general office tasks and duties.

    COMPANY PROFILE: Allied Property Management Group, Inc. is an 20-year established boutique style firm specializing in the management of Community Associations (Condominiums, Co-Ops and Homeowners Associations). The head office is located in West Palm Beach with a Broward office located in Ft. Lauderdale. The company is in growth mode primarily due to a strong focus on enhanced technological offerings for clients, building customer relationships and always finding ways to improve processes and service through the continued adoption and implementation of innovative technology.

    DUTIES AND RESPONSIBILITIES:

    · Answer general calls from homeowners and provide information and assistant

    · Assist Office Manager and Company Owner as needed for general daily tasks

    · Receive and review applications for completeness, communicate as necessary to applicants for information

    · Input, process and file applications

    · Assist with bulk mailing projects

    · Answer email inquiries

    · File documents and records accurately and efficiently

    · Assist client Board members with requests for reports and records

    · Maintain and update various databases as needed on a daily basis -- Must be proficient with the use of computer equipment, scanners and their software

    · Offer suggestions for process improvements

    QUALIFICATIONS:

    · Property management or Real Estate experience a strong plus

    · MUST be completely proficient with all aspects of computer use -- effective internet searches, Microsoft programs, QuickBooks, scanning & filing, PDF use, creating forms, and all general programs -- proper typing, spelling, and grammar a must.

    · Prior excellent customer service experience

    · MUST be an effective communicator -- proper use of English written and oral, diplomatic in interactions with clientele, polite and able to diffuse volatile situations.

    · Must have an absolute commitment to providing the highest level of customer service

    · Must be able to perform under pressure, meet constant deadlines, multitask, be able to handle ongoing interruptions, work in harmony with differing personalities,

    · High School diploma

    · Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.

    · Bilingual (Spanish) an asset but not required.

    Compensation:
