    RESPONSIBILITIES:

     

    OFFICE ADMINISTRATIVE:

    • Manage phone calls and correspondence (info e-mail, letters, packages etc.)
    • Obtain and organize invoices, bills and statements for bookkeeping purposes
    • Computer and record numerical data and files, such as personnel attendance, office operation transaction data, company access data, etc.
    • Oversee the office monthly budget, track and maintain office assets ( such as equipment and supplies ), place orders when necessary, submit timely quotes as assigned
    • Maintain office vendor contracts, such as group insurance, water, electricity, gas, telecommunication etc., check the accuracy of account payable transactions
    • Coordinates the activities of clerical and administrative personnel, manage agendas/travel and accommodation arrangements/appointments etc.
    • Assist other colleagues when necessary

     

    CUSTOMER SERVICE:

    • Greet guests and provide them with superb customer service
    • Answer and coordinate all customer service inquiries through email, live chat or phone call
    • Organize and redirect phone calls or/and emails to the appropriate department and take down messages 
    • Support brand enforcement team for on-going projects when necessary

     

    SUPPLY PLANNING ( ON GOING TRAINING) :

    • Collect demands from sales team regarding special sample, mass production based on sales statistics
    • Place container orders to factory/Supplier
    • Coordinate with factory supply chain manager and logistics on importing and exporting
    • Assist colleagues whenever necessary

     

    QUALIFICATIONS:

    • High school diploma or relevant qualification (secretarial studies will be an advantage)
    • A minimum of 2 years’ proven experience in a similar role
    • Good understanding of office administration and basic bookkeeping practices
    • Superb written and verbal communication skills
    • Excellent organizational and multi-tasking abilities
    • Strong knowledge of MS Office programs
    • Outstanding communication and interpersonal abilities
    • Deadline and detail-oriented
