JOB DESCRIPTION:
We are seeking an Executive Assistant to support the Head of Operations. The person in this role will perform diverse, advanced, and confidential daily office administration. As a result, this Executive Assistant interacts on a daily basis with other senior level Operations Leaders, senior executives outside of Operations, and other administrative professionals across the organization. This person must present a professional demeanor at all times.
The Executive Assistant will provide a high level of professional support which includes a balance of senior level administrative work as well as ongoing ad hoc and project support, such as planning meetings, tracking deliverables, and running reports. This role is ideal for an individual who is highly organized, detail oriented, tech savvy and capable of managing multiple priorities.
KEY RESPONSIBILITIES WILL INCLUDE, BUT NOT BE LIMITED TO, THE FOLLOWING:
· Manage all aspects of travel arrangements such as booking, preparing travel itineraries, making changes as needed, and preparing expense report submissions
· Complex calendar management and appointment scheduling for multiple leaders
· Assist with budgetary planning; balancing general ledger lines and/or expense accounts; researching general ledger issues
· Draft complex and/or confidential correspondence
· Prepares monthly/quarterly Compliance and EMT reports
· Edit documents and presentations as needed and maintain organization charts
· Handle confidential company materials with sensitivity and discretion
· Coordinate facilities support, floor administration, space planning
· Managing equipment, software and office supply procurement for the team
· Acts as an information source on group and company policies
· Providing HR administration proxy may include Staff Management, Recruiting Solutions, PTO tracking, Annual Compliance tracking.
· Assisting in the hiring process by arranging interviews and working with HR recruiter with onboarding as well as assisting with offboarding FTEs, contractors and other personnel
· On-board new team members
· Create, own and manage team distribution lists
· Develop and execute on Corporate Security administrative processes and procedures
· Process or route invoices appropriately, create & submit check request
· Distribute incoming and outgoing mail, faxes, interoffice mail, express mail
REQUIRED QUALIFICATIONS
· 5+ years of executive administrative support experience
DESIRED QUALIFICATIONS
Experience supporting senior level leaders/executives
Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills
Good PC skills with the aptitude to learn new systems quickly
Strong time management skills and ability to meet deadlines
Strong attention to detail and accuracy skills
Strong organizational, multi-tasking, and prioritizing skills
Highly refined and professional verbal and written communications
Ability to be flexible and adjust plans quickly to meet changing business needs
Ability to develop partnerships and collaborate with other business and functional areas
Experience writing and editing internal communications, including corporate and executive level communications
Ability to execute in a fast paced, high demand, environment while balancing multiple priorities
Ability to take initiative and work independently with minimal supervision in a structured environment
Experience with synthesizing data from multiple sources and presenting it in appropriate formats
Experience reviewing and preparing expense reports for leaders
Develop and execute on Corporate Security administrative processes and procedures
· Process Accounts Payable Invoices
