JOB POSTING: Project Coordinator

The Project Coordinator will be responsible for ALL front-line support to our customers and strive to exceed customer expectations with a true commitment to service. This full-time position requires working for 30 - 40 hours per week. Candidate will be hybrid working from home and in our Arcadia office. The successful candidate will be a reliable, patient, detail-oriented and naturally a team player.

DAY-TO-DAY RESPONSIBILITIES:

• Solicit direct client outreach and handle all incoming calls and emails
• Prepare documentations such as quotation, invoice, product specifications, etc.
• Proactively identify and engage potential clients
• Manage clerical and administration tasks such as preparing reports, ordering supplies, maintaining contact lists, clients’ Christmas and new year gifting, etc.
• Input order details and accurately document any changes/modifications made to existing POs
• Build and maintain strong professional relationships with our client base
• Respond to all client inquiries and concerns in a timely fashion and follow up with clients on pending signoffs/approvals/payments
• Keep track of all project payment collection and deposit, logistic arrangements, color swatches and samples delivery, etc.
• Promote brand recognition and loyalty by ensuring unrivaled support to our clients
• Gather key insights and assist in process improvement for our products and services
• Troubleshooting client issues and share valuable feedback with management team
• Proper handling of clients’ confidential and sensitive information among all team members and vendors
• Coordinate with our team in China and Hong Kong to ensure smooth order completion from start to finish

REQUIREMENTS:

• Bachelor's degree required
• Highly experienced in E-commence retail, e.g., Amazon, eBay, Etsy, etc.
• Bilingual – must be fluent in written and spoken English, Mandarin/Cantonese
• Excellent communicator and collaborator
• Proficient in Microsoft office
• A people person and problem solver with good work ethics
• Highly flexible to adapt to different tasks and workload and be able to respond to calls/messages after work hours and weekends
• Some level of driving and traveling required
• High level of intuition, ability to prioritize tasks independently, enjoy building relationships with customers
• Strong attention to details and critical thinking
• Previous procurement and import/export trading experience/customer service experience is a plus!
