    Job Title: Administrative Assistant Reports to: Transportation Manager FLSA: Non-Exempt

    Position Information: Administrative support of the efforts of the Transportation Department. Handles a large volume of paper and electronic files and documents, such as driver paperwork, invoices, licensing, etc. Assists the Transportation and Operations Manager with tasks and projects as assigned and necessary.Essential Position Functions:

    Schedule appointments for drivers

    Input freight orders

    Check and sort paperwork as drivers return.

    Create freight invoices

    Organize and maintain document files as needed

    Coordinate check in calls from drivers and communicate delays to customers

    Manage all taxes and licensing relating to transportation

    Maintain brokerage compliance

    Research and distribute proof of delivery requests

    Follow up on tracing calls

    Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing

    Knowledge, Skills & Abilities:

    Ability to multitask and work in a team environment

    Proficiency in Outlook, Word, and Excel

    Knowledge of dispatch software (Not required but preferred)

    Accuracy and attention to detail required.

    Possess problem solving and decision-making skills.

    Ability to communicate effectively verbally and in writing.

    Ability to follow verbal and written instructions.

    Education & Experience:

    Minimum 2 years’ experience in administrative support preferably in the transportation industry

    Billing experience

    Special Skills (if applicable):

    Flexible – able to manage constant interruptions, changing schedules and tasks

    Physical Demands:

    Regularly required to sit; use hands, fingers, handle or feel; reach with both arms and hands, talk and hear

    Able to focus; use close vision

    Able to work in an open office environment with usual voice level noise and stay focused on duties.

    Work Environment:

    Work performed in a shared, collaborative office environment, managing frequent distractions and elevated noise levels at times. Sitting for long periods of time, with standing work station as an option.

    Supervision:

    This position has no direct Supervisory responsibility.

    This position receives Supervision depending upon the assignment. In some cases, Supervisor outlines steps involved in completing assignments or standard procedures are available to enable the employee to work in a routine fashion. The end results of this work are sometimes checked.
