    We are seeking a detail-oriented, outgoing, self-motivated, highly organized, Administrative Assistant/Scheduler who will be responsible to perform a wide variety of duties. The successful applicant will be a career minded professional looking to advance within our agency and must possess a positive attitude.

    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES OF THE JOB

    • Ability to multi-task while maintaining attention to detail
    • Possess excellent verbal & written communication skills
    • Coordinate schedules and shifts for skilled nursing department.
    • Work with clients to organize scheduling assignments.
    • Place orders for supplies and services and track progress and results.
    • Work with executive leadership and/or reporting team to gather, compile, enter, analyze and organize data in the form of excel spreadsheets.
    • Schedule and organize meetings including department meetings and leadership meetings as directed by the Office Manager. 
    • Maintain confidential and proprietary sensitive information and files.
    • Ability to adapt to rapidly changing priorities
    • Project scheduling/coordinating
    • Answering phone calls/transferring/fielding questions/calling clients
    • Client and customer service/communication/liaison
    • Maintain client relations
    • Communicating with various departments
    • Creating invoices/billing
    • Assist in acquiring billing information for clients and insurance companies

    QUALIFICATIONS AND SKILLS

    • Residence in the territory (Orange County )
    • High School Graduate (required)
    • B.S. Degree (preferred, not required)
    • Minimum 2-year experience in an administrative capacity (preferred)
    • Experience in healthcare (preferred)
    • Ability to start immediately or within 2 weeks
    • Must be available minimum 40 hours a week
    • Strong written and verbal communication skills, self-motivation, with a strong independent work ethic
    • Proven ability to take direction and work independently to achieve goals.
    • Strong planning and organizational skills
    • High energy level, sense of urgency and results driven
    • Advanced skills in Microsoft Office, Excel, Adobe, Quickbooks Online, and Google Products
