    POSITION DESCRIPTION

    American Coatings Association (ACA) and its affiliate PaintCare Inc. seek a qualified legal assistant to join their in-house Legal Affairs division. The individual in this position will be responsible for addressing the varying legal needs of ACA and its affiliate organizations, most chiefly, PaintCare. PaintCare operates a product stewardship program responsible for the post-consumer collection, recycling, and disposal of post-consumer paint products.  Occasional travel (5-10% of time) is required.

    PRIMARY JOB RESPONSIBILITIES

    • Tracking contracts throughout negotiation using custom-built SalesForce and FileMaker databases
    • Preparing contracts for execution via email and via DocuSign
    • Maintaining archives of completed contracts in Box.com cloud folders
    • Basic contract administrative duties, such as procuring certificates of insurance and drafting routine contract notices
    • Preparing registration and renewal filings for corporate registrations, sales/use tax exemption, and business licenses
    • Maintaining archives of governance documents for ACA and its affiliate organizations
    • Various other duties to support the needs of attorneys in the Legal Affairs division

    SKILLS AND QUALIFICATIONS

    • Excellent organizational skills and attention to detail
    • Two to five years of experience in an administrative or legal support role
    • Strong interpersonal and communication skills
    • Demonstrated ability to manage competing priorities for multiple stakeholders and to manage client relationships without undue supervision
    • Strong technology skills; experience with document management software, SalesForce, and/or FileMaker are a plus
    • Experience with one or more of the following is a plus:
    • o managing contracts and/or other legal documents
    • o contract administration
    • o trade associations or other non-profit organizations

    SPECIAL REQUIREMENTS

    LOCATION

    This position is located at ACA headquarters in Washington, DC.  ACA has a hybrid work environment, where staff spend days both onsite and working remotely each week.
