  • Responsibilities

    Objective: Under general direction, the Community Events Coordinator plans and implements special events and activities that enhance American Family Fitness programs and outreach activities. Is the company liaison for any events with direction from their direct reports according to the company’s Mission, Vision, Service Standards, and Business Philosophy.

    The position is year-round and part-time with a flexible work schedule that on average will require 15-25 hours per week, including some weekends and evenings.

    Reports to: Director of Marketing/Chief Operating Officer/President

    Criteria:

    At least one to three years of Community Events experience (preferably in the health club/fitness/wellness industry) and a proven track record of success in organizing, planning and executing community events. Proficient oral, written, and technology communication (email/texting) skills. Knowledge of business software and Microsoft Windows/Office. A dynamic, outgoing personality. Able to lift and move up to 25 lbs.

    Performance Expectations:

    To Get and Keep Members.

    Work with local organizations including: local festivals, charities, educational organizations, chambers of commerce, the health and wellness community, college and professional sports teams and local businesses.

    Produces detailed proposals for events, including charity events (e.g. Creates timeline, locates venues, supplies inventory, coordinates staffing, export event leads to CRM system, track promotion codes and organizes budgets).

    Creates & identifies implementation procedures, coordinates/solicits AFF Team Member and outside volunteers and management for all major community events.

    Plans and coordinates execution of Regional Retention Programs, planned in advance by at least 2 months.

    Sits on the Regional Community Committee for planning purposes.

    Secures and reserves suitable venues ensuring that insurance, legal responsibilities, health and safety obligations are obtained.

    Attends, plans event layouts and coordinates the dismantling and removal of event equipment from venue efficiently.

    Recruits food and merchandise vendors and sponsorships as needed.

    Maintain in Club Merchandising Standards, including inventory, ordering, signage, promotional products, service launches, and quarterly merchandising audits, maintain delivery minimums.

    Coordinates with marketing and PR colleagues to promote the event and prepare needed materials, including social media to help encourage the traffic volume of Facebook, Twitter, and Instagram

    Conducts post-event evaluations.

    Researches activities/events/initiatives to implement & executes innovative approaches to expand our community reach, goodwill and our brand.

    Partner with sales, operations, and welcome desk management to maximize the communication of companywide events, which are scheduled at least 3 months in advance.

    Maintains strong interpersonal relationship and a high level of customer service & effective communication with the community both inside and outside of AFF.

    Possess a strong member focus. Responds professionally to requests and inquiries from guest, members, and staff.

    Participates in department/all staff meetings to assist in the coordination of club activities and community events.

    Contributes material pertaining to various clubs for the newsletter.

    Submits weekly labor report on hours worked and duties executed

    Provides weekly business membership lead to the Sales Manager at either home or other clubs in the region.

    Able to lift and move up to 25 lbs.

    Other duties as reasonably assigned.
