    PROCUREMENT COORDINATOR:

    We are seeking a motivated, detail-oriented Procurement Coordinator with polished communication skills who enjoys working as part of a team and thrives in a fast-paced environment. The ideal candidate has industry experience and enjoys building successful relationships with clients and vendors. The position is part time with flexible hours and is based out of our Wauwatosa studio, with some opportunity to work from home. There is also opportunity for the position to grow into a full time salaried position with benefits.

    Our Procurement Coordinator is responsible for placing purchase orders with vendors, tracking lead times and ship dates, and providing timely and accurate updates to clients on their upcoming deliveries. Responsibilities also include maintaining client statements to reflect the correct dollar amount of orders placed, payments received and upcoming payments due, and managing damage claims for any items that arrive in poor condition.

    The right candidate needs to be reliable and on time, and can be counted on to provide the highest level of service to our clients, vendors and trade partners.

    QUALIFICATIONS:

    Education & Experience: Must have a minimum of a High School diploma, an Associate Degree or greater is preferred. Excellent computer skills are needed as well as the ability to multi-task. Polished written and verbal communication skills are essential. The right candidate must enjoy interacting directly with a high-end clientele and working on their behalf to drive the best outcome for their project.

    Mandatory Experience : At least 2 year’s administrative experience. Experience in purchasing and a familiarity with basic software-based accounting practices are a must. Proficiency at Excel and MS Office Suite is required. Must have a vehicle, valid driver’s license, and auto insurance for occasional company business.

    Desired Experience/Qualifications: Proficiency in QuickBooks or Studio Designer is preferred

    DETAILED RESPONSIBILITIES:

    PURCHASING DUTIES

    • Email new Purchase Orders (POs) to vendors
    • Create Delivery Sheets with detailed information on incoming product and email to our receiving warehouse
    • Verify POs have been received by vendor/sub and check accuracy of vendor acknowledgments
    • Process payments to vendors via credit card or check payment
    • File POs and acknowledgements in their respective folders on the company server
    • Approve invoices on a weekly basis so that the Business Team can process vendor payments
    • Expedite each project bi-weekly and update PO status in delivery sheets.
    • Email relevant Design Coordinator and advise them of any problems or delays with POs
    • Work with vendor/freight company/warehouse/subcontractor to repair or replace damaged and defective items
    • Email damages report to Design Coordinators

    CLIENT RELATIONSHIP MANAGEMENT:

    • Answer calls and return emails in a welcoming and professional tone
    • Provide timely updates to clients on the status of their orders
    • Provide accurate financial statements to clients that reflect orders placed, payments received and upcoming payments due
    • Deliver disappointing news in an empathetic and professional manner
    • Provide on-site assistance and direction to delivery staff during deliveries and installation
    • Attend window treatment, wallpaper, and flooring installations
