Job Description
Reporting directly to the CFO, the controller directs the financial affairs of the company. This includes financial analysis of operations, including monthly interim financial statements with supporting schedules. The Controller is responsible for the company’s financial plans and policies, its accounting practices, the conduct of its relationship with lending institutions and the financial community, the maintenance of its fiscal records, and the preparation of financial reports. The position involves a great deal of cost accounting as well as supervision over general accounting, fixed asset management, internal controls and budgetary controls.
FINANCE & ACCOUNTING 60%
- Serve as key member of the management team in crafting and executing strategy, including but not limited to finance and operations.
- Ensure compliance with any and all financial and contract reporting requirements for funding, licensing, or regulatory bodies.
- Perform and analyze budgeting, forecasting, financial, and cash flow analysis to guide business leaders.
- Responsible for the month-end and year-end financial closing processes in a timely and efficient manner, including preparing financial statements and variance analysis. Create robust cost controls, reporting, and accountability in the organization.
- Prepare and distribute timely and accurate financial statements to senior management, ensure reported results comply with GAAP.
- Provide guidance to management on the financial implications of business decisions.
- Determine staffing levels and organizational structure for accounting team, identify required skills for positions, initiate and participate in hiring process, and make final hiring and firing decisions for respective accounting personnel.
- Assess business needs relating to productivity, spending, and profitability.
- Help manage company credit risk and consistently follow company procedures.
- Oversee AR and AP. Ensure timely collections of AR and AP is paid in a timely, accurate manner.
- Confirm proper preparation for all audits. Manage internal and external audit and work with management to develop remediation plans as necessary.
- Implement and oversee effective internal controls to assure safeguarding of assets and reliability of financial statements.
- Develop policies and practices in compliance with all applicable federal, state, and local laws and ensure compliance with such policies and laws.
- Comply with local, state, and federal government reporting requirements and tax filings, including multi-jurisdiction sales tax collection, remitting and reporting.
- Install, document, and improve accounting and payroll processes.
- Develop and maintain a documented system of accounting policies.
- Collaborate and enable HR to ensure that accounting support is available to facilitate staffing needs
- Work closely with HR on employee onboarding/offboarding and to update office policies
- Oversee the processing of multistate payroll and maintain compliance with applicable payroll laws
- Ensure accounting skills redundancy is in place to maintain business continuity

TEAM MANAGEMENT 20%
- Manage staff accountant and administrative coordinator positions on the finance team
- Maintain alignment and group cohesion through regularly scheduled team meetings
- Work with team members to set goals that align with department and company goals
- Monitor and provide feedback to team members by conducting quarterly performance evaluations against goals
- Develop, document, and execute corrective action plans for underperforming team members to help them be successful
OFFICE MANAGEMENT 10%
- Acts as a liaison between the Company and Property Management Group.
- Ensure that common areas are organized and tidy during the workday.
- Responsible for the overall management of the front desk.
- Ensure common area and kitchen equipment is in working order and arrange for any necessary repairs.
- Monitor and manage inventory of key office and kitchen supplies.
- Manage inbound and outbound mail and deliveries.
- Manage all necessary documentation and reporting related to the office (i.e. insurance certificates, financial and legal documents) and provide data and reports based on requests from Facilities and Finance departments in HQ.
- Responsible for office safety and compliance.
- Assist with events planning both onsite and offsite.
