JOB DESCRIPTION:
The Repairs Operations Specialist reports to the Director of Operations and will provide critical support to the Housing Acquisition and Tenant Coordination teams, assisting in administrative support. They will work closely with our external support firms, government agencies, nonprofits, landlords, participants, and internal Anthos|Home team. We are looking for data enthusiasts, team-oriented and mission-driven individuals.
K ey responsibilities include the ability to:
- Call landlords and property provider contacts to check on the status of repairs in progress
- Inspect units that require repairs to assess the scope, cost, and estimated time for completion of repairs
- Perform both ARC and HQS inspections
- Collect keys from landlords and property providers
- Manage keys and assist with unit access for all of the units in the Anthos|Home bank of units
- Canvas for new vendors that perform repairs
- Build out and maintain our vendor database
- Prioritize finding and utilizing M/WBE (Minority and Women-owned Business Enterprise) vendors - repairs, maintenance, cleaning, moving companies, etc.
- Update Salesforce with all relevant repair data
- Build out and analyze reports on repair data within Salesforce
- Understand and assist in the hold and repair agreement execution process
- Communicate with Tenant Coordination and Housing Acquisition teams on housing voucher package and move-in inquiries
- Operate at a fast pace with attention to detail for client move-in orders and requests
- Maintain up-to-date data and confidential files on tenants, unit listings, and landlords, and assist in matching prospective households to apartments
- Respond to general inquiries
- Work with stakeholders to create dashboards and reports for project teams
- Maintain data integrity of Anthos|Home tracking systems
- Prepare ad hoc reports and assist with ad hoc projects as needed
- Work in partnership with the other Operations Associates, and assist them when necessary
- Other duties as assigned by the supervisor
- Provide excellent customer service and confidentiality
****QUALIFICATIONS AND SKILLS:
Bachelor's degree preferred, and if not, candidate should have three years or more experience working in administration, operations, repairs/maintenance, or a related field.
Additional Skills include:
- Must have strong technical aptitude, with advanced proficiency in utilizing MS Word, Excel, and PowerPoint
- Experience with customer relationship management (CRM) systems a plus
- Excellent time management skills and the ability to work towards meeting multiple deadlines simultaneously
- Must be detail-oriented and an effective problem-solver
- Excellent communication, analytical, record-keeping and organizational skills required
- An ability to work independently and in a collaborative setting
- Passion for the mission of the organization
- Ability to work in a diverse environment
- Experience managing apartment repairs, engaging with maintenance or repair companies, and/or in real estate a plus

**WORK ENVIRONMENT:
- Competitive Pay: $70,000 - $75,000 salary range (dependent on experience)
- WFH/Hybrid work: 3 days required in office, other days may be WFH or out in the field
