    Job Description

    EXECUTIVE ASSISTANT

    Superstition Mountains Community Facilities District No. 1 is the sewer service provider for the City of Apache Junction. Our ideal candidate will be able to perform a wide variety of complex and non-routine administrative duties to support the District Manager. The Executive Assistant position requires a high degree of accuracy and discretion, and the ability to complete assigned tasks with minimal supervision.

    RESPONSIBILITIES:

    • Provides advanced administrative support to the District Manager, including processing incoming and outgoing mail, screening and responding to correspondence and phone calls, and managing and coordinating calendars and schedules
    • Maintains, updates and follows District records retention policy related to legal correspondence and posting, regulatory documentation, management records, Board of Directors meeting materials, and other electronic information and documentation in accordance with District policies and procedures and Arizona Revised Statutes
    • Prepares, coordinates and completes purchasing documentation for licenses, permits, memberships and other District business
    • Prepares, maintains, distributes and manages all documents and processes associated with the Board of Directors and District Board Meetings
    • Administers a wide range of policies and procedures, some of which may not be standardized
    • Manages renewal process and makes recommendations regarding the District’s worker’s compensation, general liability, umbrella, cyber, vehicle and equipment insurance policies and claims
    • Evaluates processes and makes recommendations regarding efficiency and improvement
    • Demonstrates knowledge of and compliance with District policies, procedures and guidelines and Arizona Revised Statues as they apply to special districts
    • Fills in, as needed, for other administrative staff
    • Coordinates and plans District events, sponsorship of City events and public relations opportunities
    • Presents a positive image of the District and its Management Team in communication with staff, customers and other agencies

    QUALIFICATIONS:

    • Must possess a high school diploma or equivalent; 5 years of progressively responsible administrative support to executive level management
    • Proficient in Microsoft Office products including Outlook, Excel, Word and PowerPoint
    • Knowledge of public meeting rules of order and etiquette is preferred
    • Experience in a governmental or utility industry is preferred
