    The office manager provides high-level administrative support to the Director, and managers by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. As well as overseeing of the office management, duties and responsibilities entailed. The Office Manager provides executive support in a one-on-one working relationship. The Office Manager serves as the primary point of contact on all matters pertaining to the Office.The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Office Manager will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.Essential FunctionsReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.1. Completes a broad variety of administrative tasks for the Director and managers including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.2. Plans, coordinates and ensures the Director’s schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Director’s time and office. 3. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. 4. Provides a bridge for smooth communication between the Director's office and internal departments and customers; demonstrating leadership to maintain credibility, trust and support with senior management staff. 5. Works closely and effectively with the Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Director updated. 6. Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Director of which may have organizational impact. 7. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Director’s ability to effectively lead the company.8. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. 9. Management of the office by ordering supplies, arranging services for repair, and or maintenance.10. Tracking of expenses for vehicle repairs as a result of accidents. 11. Responsible for DMV functions that include, vehicle registrations, title transfers, in servicing process of new vehicles.12. Tracking status of PO’s and RO’s in the RTA system. Compiling reports.13. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical DemandsThis is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Occasional lifting of 10 – 20 lbs., as needed.Position Type and Expected Hours of WorkThis is a full-time position. Days and hours of work are Monday through Friday, 6:30 a.m. to 3 p.m. TravelNo overnight travel is expected for this position. There may be occasional local day travel.Required Education and Experience1. High school diploma.2. Five years of administrative experience.Preferred Education and Experience1. Associate’s degree or bachelor’s degree.2. Eight to ten years of administrative experience.
