    Job Summary Manage the entire commercial, C.O.D., Government move processes. Be the one point of contact and liaison for the external customer and all participating departments within the company. Provide excellent follow-through while maintaining quality assurance at every level of assistance and action. To work harmoniously with outside sales representatives and other internal customers to meet the needs of our customers. Duties and Responsibilities (this may not include all of the duties assigned) Handle incoming and make outbound calls to customers/ prospects as required. Provide day-to-day support to accounts with regard to moving needs, support information, and accessorial authorizations. Efficiently manage the flow of daily reports and paperwork Prioritize and organize daily workload (i.e. projects, order entry, customer contacts, internal follow-up, customer inquiries) Provide administrative support to the Director of Sales and other managers, accordingly. Complete follow-up requests in a timely manner. Flexibility in assignments and scope of work as required in order to meet the objectives of the department. Provide backup support as needed for all team segments. Maintain communication throughout the move process with customers, dispatch, warehouse, accounting, claims, salespeople, driver, other agents, and anyone else who may be involved in the move. Provide OA/DA services when requested. Obtain all necessary information and paperwork from sales representatives. Confirm with the customer the information supplied by the salesperson. Set up and maintain files on each move using different types of software. Prepare, process, print, organize and distribute all paperwork required for move according to procedures. Verify that services are performed as scheduled. Provide accounting clerk with completed files in a timely manner. Field and address concerns and/or complaints of customers. Field and address questions, concerns, and complaints of all company personnel, or anyone else who may be involved in the move. Alert appropriate parties to any problems. Utilize available software and/or written forms to document all communication with the customer and other parties. Set, reschedule, and cancel appointments for customers as necessary. Maintain calendar/schedule for sales representatives. Provide over-the-phone estimates/rates at the customer's request. Book over-the-phone moves when necessary. Able to manage time-sensitive paperwork and activities related to the moving process. Get special State Department designation to accept jobs and notified changes on shipment. Estimate cost of services for C.O.D and commercial accounts. Other duties as assigned Knowledge, Skills, and Abilities Strong written and oral communication and follow-up skills. Customer relations oriented. Troubleshooting and up-selling abilities. Basic computer skills including the ability to function confidently with an MS Windows network environment, using MS Word, MS Excel, and MS Outlook.
