    About the Role:

    Aquila is seeking a Archives Assistant to join our team in supporting one of the country’s premier defense research organizations. The Archives Assistant Specialist will help expedite and support projects involving historic organization program and administrative records and related archives documentation to enhance collection preservation and access.

    There are a few requirements for the position:

    • Must be a U.S Citizen (Green Cards / Visas do not qualify)
    • Willingness to undergo a comprehensive background investigation and maintain a personal security clearance. (Aquila would sponsor you for the security clearance.)
    • Must be within commutable distance of Lexington, Massachusetts.

    Responsibilities:

    The Archives Assistant assists in evaluating and determining records management needs for departments and workgroups through utilizing criteria for volume of records, amount of official records managed, confidential records and business continuity. Assists in developing recommendations and procedures for creation, control, storage and disposal of those records used in a business process. Assists in formulating recommendations to improve collaboration and compliance associated with information creation, storage and retrieval through gathering and analyzing user information requirements. Assists in providing user support for document and records management systems, including trouble shooting user errors. Assists in developing records compliance and records retention programs. Analyzes compliance with programs and supports implementation efforts to ensure that customers follow the policies and procedures of the program. Analyzes department records, classifies records and researches the appropriate retention value for each class of records. Assists in developing and implementing quality assurance guidelines/practices, reporting mechanisms and measurement metrics for electronic document and records management systems. Works with departments to identify vital records. Provides input regarding implementation of proper procedures for vital record protection. Creates written documentation of work flow and processes for managing all record types within departments.

    What You'll Bring:

    • Bachelor's degree required.
    • Library/Archives coursework preferred.
    • A background in science or engineering is helpful.
    • Familiarity with library/archives operations is required, with 1 year of relevant work experience using Archives or Library systems. Practical knowledge of library catalog tools such as SirsiDynix and archives management tools is preferred.
    • Compelling interest in history and archival work and an excellent aptitude for related skills including: organization, attention to detail, efficient reading comprehension, problem-solving, follow through, and decision-making.
    • Experience with scanning software, hardware, and applications, including Adobe products
    • Practical hands-on experience working with audiovisual media and hardware
    • Must be able to communicate clearly, e?ectively, and tactfully both verbally and in writing; writing-based projects/assignments will be approximately 25% of the role
    • Experience with and genuine interest in historical research and writing
    • Ability to work independently, manage deadlines, and meet goals
    • Demonstrated ability to work in a collaborative teamwork environment
    • Candidate must be highly motivated, dedicated, curious, and enthusiastic
    • Must be able and willing to lift 40 lb. boxes
    • Must be able to work in spaces where wireless devices are not permitted

    Must Have:

    • Bachelor's Degree
    • 1 year Preserve and Maintain Records
    • 1 year and description of historical records
    • 1 year Digitization and quality assurance
    • 1 year Hands-on experience working with audiovisual media and hardware
    • 1 year Relevant work experience with library/archive systems

    Location: Hybrid This is a 40-hour per week, 8:30AM-5PM. Candidate is expected to work onsite at least two days each week. Depending on the project, more onsite days may be required
