    Arch Systems is seeking a high EQ and engaged, part time (20-25 hours) Executive Assistant to partner with our CEO and cofounder and help accelerate our company! This position requires someone experienced working in a fast-paced, start-up environment and engaging with one or a small number of high-level executives in a high-trust environment.

    This is not a multi-executive or typical all scheduling EA role, but more of a 1 or 2 executive, amplification, and close partnership type of role.

    Compensation

    We benchmark our compensation against market rates in the San Francisco Bay Area and use a compensation formula that includes a location factor to determine total target compensation. At Arch, total target compensation may include a base salary and semi-annual performance bonus eligibility. Employees in the US can expect generous benefits for themselves and their dependents as well as equity in the company.

    Remote Equal

    Since before COVID-19, Arch has operated as a remote-equal team and while we welcome candidates from anywhere in the world to apply, This position is required to be in-person at our Palo Alto HQ to maximize collaboration time with our CEO. Applicants must be authorized to work in the US. We are unable to sponsor a visa at this time.

    About the Role

    The Executive Assistant will provide high-level administrative support primarily to the CEO and cofounder with some secondary support to the CTO or other Executive Committee members. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects.

    The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple competing priorities.

    WHAT YOU WILL OWN AND DRIVE:

    • Support and help amplify our CEOs ability to do the job, by supporting his calendar, email, communications, and in-office responsibilities
    • Calendar - Sustain a daily calendar of meetings and events for the CEO. Work well with AI and auto-scheduling tools to limit the amount of time required to schedule.
    • Travel - Help book travel with the CEO, CTO and other executives for occasional trips.
    • Email and LinkedIn - Build a trusted relationship to be able to help manage the CEOs public email and LinkedIn to amplify on-time and on-message external communications
    • Communications - Help the CEO structure information and manage contacts for amplified personal communication and outreach
    • In-office responsibilities - As a remote-company, we have almost no in-office responsibilities, but there are several important ones that you will own. This includes fielding physical mail, processing it and/or digitizing it and getting it to the right people and managing on-site visits by guests and team members when people do come on-site.

    Key surrounding duties include:

    • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
    • Prepare documents, spreadsheets, presentations, reports, agenda or other documents in support of the organizations objectives
    • Field incoming telephone calls or messages to the Executive's public number and helping route them to the appropriate staff
    • Manage the Executive's contacts
    • Assist in preparing and managing presentations and decks.
    • Be responsive to emails/texts/phone calls, with contact outside normal business hours
    • Welcome the Executive's guests by greeting them, in person or on the phone; answering or directing inquiries.
    • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
    • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
    • Complete ad hoc projects as assigned – such as personal events and/or family needs.
    • Organize complex calendars and schedules; resolving any scheduling issues

    WHAT YOU NEED TO BRING TO THE TABLE:

    • 5+ years of related experience required in working in an executive assistant role supporting C-Level executives
    • Advanced Proficiency in work tools (word documents, spreadsheets, presentations)
    • Advanced Proficiency in email, communication tools (Slack, LinkedIn), and collaboration tools (Asana)
    • Ability to use discretion, confidentiality, and good judgment to handle C-Level matters.
    • Ability to communicate effectively and professionally.
    • Excellent time management skills; proven ability to meet deadlines.
    • Ability to be in-person a few days a week at our Palo Alto location
    • Ability to function well in a high-paced environment and flexibility to perform additional duties as assigned by executives.
    • Flexible hours as dictated by the needs of business for projects and meetings.
