    Job Description

    The CSR/Admin Assist. manages a variety of general office activities by performing the following duties personally or within a team environment.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    • Answers HEAVY phones and directs the caller to the appropriate person.
    • Reads and routes incoming mail.
    • Composes and types routine correspondence.
    • Organizes and maintains file system, and files correspondence and other records.
    • Greets scheduled visitors and directs to appropriate area or person.
    • Reviews some clerical and field technicians’ daily tracking sheets to ensure completeness, accuracy and timeliness.
    • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of all staff and personnel meetings.
    • Makes copies of correspondence or other printed materials.
    • Prepares outgoing mail and correspondence, including e-mail, faxes and mass mailings.
    • May Dispatch, monitor and maximize field technician’s daily schedules for efficiency.
    • Establishes and maintains a professional working relationship with all clients.
    • Reviews and approves invoices for posting/enters customer data in QuickBooks.
    • Scans and/or copies documents to be attached in QuickBooks.

    EDUCATION AND/OR EXPERIENCE: High School Diploma or GED

Must possess the ability to write reports, business correspondence, and procedural manuals. Must possess the ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

    MATHEMATICAL SKILLS: Must possess the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Must possess the ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

    REASONING ABILITY: Must possess the ability to apply common sense, understanding to carry out instructions furnished in written, oral, or diagram form. Must possess the ability to deal with problems involving several concrete variables in standardized situations.

    COMPUTER SKILLS: Should have a working knowledge of All Microsoft Office Programs, including but not limited to Word, Excel, Outlook, Adobe Acrobat, Publisher, and PowerPOint. Must have fluency in internet navigation.
