Title: Executive Assistant
Location: Franklin, TN – hybrid, minimum of 2 days in office per week
Duration: Potential temp to hire based on performance/fit
Schedule: 40 hrs/week; 8:00am to 5:00pm
Interview process: Teams Video, 1-2 rounds
Job description:
The Executive Assistant will use independent judgment to provide timely and effective administrative and clerical support to multiple members.
Responsibilities:
· Cooperatively works with remote peers and supports remote leaders in a multi-cultural, multi-time zone environment.
· Collects, compiles, formats, and organizes monthly report material.
· Manages daily calendar within email system for multiple leaders.
· Coordinates small and large meetings (e.g., scheduling conference rooms, coordinating food, logistics, note taking, minutes of meeting)
· Reserves domestic and international travel and hotel arrangements as needed; proactively identifying requirements for travel documents such as visas, invitation letters, etc.
· Prepares and files expense reports.
· General office duties such as word processing, spreadsheets, presentations, flow of correspondence, filing, requisition of supplies, faxing, etc.
· Coordinates agenda and materials for meetings and training sessions and other activities of the organization
· Maintains and updates databases, organizes and manages data on social media / shared sites as needed.
· Assists in preparation of business review materials.
· Screen telephone calls, incoming mail, publications, and other correspondence, including confidential information. Establishes and maintains highly confidential files.
· Assist in the management of department budget. Review and compare monthly expenses to budget reports.
· Responds to staff requests for administrative support as needed.
· Ability to multi- task and prioritize many work items simultaneously.
Must Have:
· This position requires at least five years of experience in an executive level administrative position in a demanding environment.
· Proficient computer skills including MS Office products and web applications.
· Excellent organizational skills, as well as verbal and written communication skills required.
· Results oriented and able to make decisions without direct supervisor involvement and open to work in a multi-cultural environment.
· Must have a positive attitude and flexibility to work outside of regular schedule when special events require admin support.
