    Job Description

    POSITION SUMMARY The primary goal of the Administrative Assistant Receptionist is to support the Office Manager and Staff in conducting administrative duties and providing a valuable connection between patients and services. This position also supports the mission, vision and values of the organization by exhibiting excellence, competence, collaboration, respect, commitment to our community and clients, accountability and ownership. The Administrative Assistant Receptionist will perform all duties in accordance with company established policies and procedures.

    PRINCIPAL DUTIES AND RESPONSIBILITIES

    • Schedule and confirm appointments, send prescriptions to pharmacies, and assist providers as needed for quality patient care. Answer and respond to patient phone calls and emails timely, monitor company voicemail systems, respond to patient inquiries and gather patient information in accordance with company standards.
    • Adopt company systems and procedures for file maintenance, invoicing, claims, insurance processing and new patient submissions. Establish patient relationships and follow up with patients, as needed.
    • Provide prompt, accurate, and friendly customer service. Service can include responding to inquiries regarding insurance availability, eligibility, coverages, claim submissions, and billing clarification. Assist with onboarding new patients.
    • Adhere to policies and procedures provided in company policies and procedures.
    • Respond to patient inquiries within 24 business hours (maximum time frame) and document patient contact information, patient notes on our electronic medical record system, Care Tracker, and direct recognition to the provider or physician via phone contact text messaging, e-mail and/or call. Pull Daily To-Do Lists that include, but are not limited to: Patient appointments, patient inquiries, patient prescription requests, prescription concerns, and change of pharmacy contact delivery information and any other task assigned by Office Manager/ Assistant Manager. Obtain signed Intake/Consent Patient Packet and Proof of ID and Insurance Card to upload to the patient file in the electronic medical record, as well as ensure patients all have a financial form in the patient file.
    • Assist in completing external audits, including insurance audits Perform other duties or complete special projects as assigned by direct supervisor.
    • QUALIFICATIONS & CORE ABILITIES**

    • Bilingual preferred Spanish and English

    • Flexible, Punctual and Responsable.

    • Team-work oriented

    • Willing to work Overtime as needed.

    • Must have good listening, communication and writing skills.

    • Ability to balance competing priorities and make independent judgments and decisions.

    • Ability to work in a professional, confidential, and collaborative capacity.

    • Sensitivity to cultural, religious, racial, disability and gender issues.

    • Experience working with Electronic Medical Records (EMRs).

    • Knowledge of Doxy.me. (a plus)

    • Knowledge of state and federal confidentiality regulations. (HIPPA)

    • Knowledge of computer software applications in word processing, spreadsheets, database, and presentation software, including Word, Excel, and other MS Office products, along with practice management software.

    • Knowledge of and complies with state and federal statutes, rules and policies that affect the target population.
