Ultimately this person will build a team/network of providers (myofunctional therapists, osteopathic physicians, lactation consultants, nutritionists, and more) and support staff. Please complete the entire application to be considered for the position. Responsibilities: This role of Practice Champion oversees the practice's daily operations and the team. They assist with business planning and process improvement, compliance with industry regulations, financial management, human resources, facility management, and relationship management. The Practice Administrator’s multitude of contributions creates smooth running, high morale practice location(s) with happy productive team members and a profitable organization, allowing the doctors to focus on providing exceptional care. • Responsible for overseeing the onboarding of new patient, patient tracking, implementing and using the EMR, training of personnel in the new and correct processes. Communicates effectively with new and existing patients and team members to establish good working relationships. • Ensures the financial viability of the organization by establishing and maintaining systems to ensure a profitable and compliant practice. Collecting finances (all cash/credit card/wire) no insurance-implementing automated processes. Establish billing and monthly/quarterly/annual fee collection practices. • The direction of and the contacts established by the Practice owners helps to create a network of vendors and partnerships to support integrative pediatric dental practice. Manages the interface with other office practitioners and vendors communicating at a high level to establish seamless coordination of care for patients. • Ensures that patients receive the best possible care, keeps the clinic focused on patient satisfaction, safety, and efficient operations. Continually works to improve patient office interaction and promote patient satisfaction. Works to oversee team member patient satisfaction training and target strategies to improve office-based systems including phones, patient portal, wait time, communication, etc. Responds effectively to patient concerns in writing and in person. • Collaborates with vendors to establish marketing and advertising plans. Supervises and directs clinic online presence including website maintenance and management of social media outlets and reputation. • Develops and works closely with the practice owners, developing business strategies, formulating budgets, and dealing with daily operations, long term strategies, and helps to manage the strategic direction of the practice. • Oversee Human Resources function and personnel including best practices for the office, employee handbook policy revisions, benefits packages, staff performance reviews and coaching, role clarifications, and job descriptions by position, pay scale development, merit-based raises, and leave, earning policies. • Manage daily staffing to ensure optimal operation of the practice. Assist in developing Day-to-Day Practice operations and processes for employees, doctors, and other staff that provide consistency and flexibility to perform as efficiently as possible. • Ensures organization compliance with all regulatory agencies governing health care delivery and rules of accrediting bodies. Continually monitors operations, programs, physical properties, and initiates appropriate changes. • Provides routine production analysis and distribution of reports. Promotes lean workflow, which is standardized, sustainable, and cost-effective. Qualifications: KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED • AT LEAST 7 YEARS OF CURRENT EXPERIENCE WITH AT LEAST 3 YEARS OF PROVEN MANAGERIAL EXPERIENCE WORKING AS A PRACTICE OR CLINICAL MANAGER FOR A SPECIALTY OR GENERAL DENTAL OR MEDICAL PRACTICE. ALTERNATIVELY, MANAGING A CONCIERGE PRACTICE OR INTEGRATIVE HEALTH/LIFESTYLE HEALTH PRACTICE. • BACHELOR’S OR MASTER'S DEGREE IN BUSINESS ADMINISTRATION, HEALTH ADMINISTRATION, OR SIMILAR DISCIPLINE ( finance, human resources, marketing, project management, accounting, and strategy) • Proficient in HR/Staff Management skills including hiring, training, coaching, counseling, oversight of practice protocols, etc. • Leadership and teamwork skills • Proficiency in all types of communication (verbal and written) with patients, doctors, team, referring offices ad vendors • Keen understanding of scheduling and financial systems in order to support the practice • Understanding of strategic marketing and ability to market practice • Ability to utilize QuickBooks to run reports, analyze data, and compare trends • Overall understanding of office values, goals, protocols, and systems • Demonstrated experience in implementing or upgrading an EMR system highly preferred. Experience with Dentrix dental EMR preferred  • Proficiency with all social media platforms including Facebook, Youtube, and Twitter • Relationship building skills • Excellent presentation skills • Influencing /negotiation skills • Creative problem-solving skills • Ability to manage projects and work independently • Excellent assertive skills • Ability to prioritize tasks, projects, and emergencies vs. non-emergencies • Basic computer and networking skills including practice management software • Ability to maintain strict confidentiality • Excellent listening skills • Familiarity with dental insurance protocols, ADA, and ICD-10 codes • Excellent change management and adaptability skills • Proficient in all usage of MS office (Excel, Powerpoint, and Word). • Ability to maintain a positive demeanor and attitude even during times of stress and pressure. • Ability to work 36-40 hours per week, Monday -Friday (some days as early as 7:30 am and ending some days at 7 pm) • Ability to work 1-2 Saturdays per month (7:30 am-1 pm) • Reliable transportation to Ashburn, Virginia in all types of weather • Compensation is negotiable + Performance bonus Our team is full of individuals with different skills and personalities, but each is willing to go the extra mile for our patients and each other.
