Assistant Controller
The Assistant Controller supports the Owners and Director of Finance in the daily financial and administrative operations of a multi-unit and location company. This role is responsible for maintaining accurate financial records, supporting payroll-related reporting, and ensuring efficient day-to-day operational support across multiple locations.
The ideal candidate is highly organized, detail-oriented, comfortable working with financial data, and capable of managing multiple priorities in a fast-paced environment.
Minimum Qualifications
- 2–4 years of accounting or bookkeeping experience
- Proficiency with QuickBooks
- Strong organizational and time management skills
- High attention to detail and accuracy
- Ability to manage multiple priorities and deadlines
- Strong communication skills
- Advanced proficiency with Microsoft Excel
Finance & Accounting Responsibilities
- Open and process company mail daily
- Manage accounts payable through the company’s automation platform
- Enter and maintain payable records in QuickBooks
- Process daily sales transactions
- Submit vendor payments and recurring expenses online
- File and pay monthly sales tax
- Reconcile third-party vendor payment receivables
- Investigate and resolve payment chargebacks
- Maintain financial spreadsheets and reporting, including:
- Payroll hours review
- Revenue comparison reporting
- Assist with financial recordkeeping and reporting accuracy across multiple locations
Operations & Administrative Support
- Coordinate company equipment repairs and replacements
- Assist with landlord and utility communications as needed
- Coordinate location closures for maintenance or cleaning
- Schedule facility maintenance services and inspections
- Assist with permitting requirements, filings, and documentation
- Support operational projects and administrative processes
- Ensure operational tasks and reporting are completed accurately and on time
