Assitant Director– Enrollment, Marketing & Business Operations
About Us The Learning Experience – Ephrata is a brand-new, state-of-the-art early childhood education center, DHS-certified for up to 122 children. We're building something special in the Ephrata community, and we need a driven, business-minded Assistant Director to help us grow fast and run tight.
The Role This isn't a traditional "back office" Assistant Director role. We're looking for someone who treats enrollment growth like a sales target, owns every lead from first call to signed contract, and runs the business side of the center alongside our Center Director. You'll split your time between the front lines of family-facing marketing and enrollment, and the numbers/operations side of the business.
Think of yourself as half growth-driver, half business manager — accountable for filling seats and keeping the business running smoothly.
What You'll Own Enrollment & Lead Management
Own the entire lead pipeline — every inquiry (phone, web, walk-in, referral) gets tracked, followed up, and driven to a tour and enrollment
Respond to leads fast and follow up persistently until you get a yes or a clear no
Conduct center tours that convert — you're the closer
Track enrollment metrics weekly: leads in, tours booked, conversions, waitlist by room/age group
Manage a simple CRM/tracking system so no lead ever falls through the cracks
Marketing & Community Outreach
Plan and execute local marketing: social media, flyers, community events, employer partnerships, chamber of commerce activity
Represent TLE Ephrata at community events, basket drops, and local partnership opportunities
Work with local media/radio and digital advertising to keep inquiry volume up
Business Manager Duties
Support day-to-day business operations: billing, tuition collection, family account management
Assist with payroll coordination, vendor relationships, and basic bookkeeping support
Help manage subsidy/ELRC family billing and paperwork
Partner with the Center Director on staffing schedules, ratios, and compliance
Support budgeting, expense tracking, and operational reporting to ownership
What You Bring
2+ years in childcare administration, enrollment/sales, or business operations (childcare industry experience strongly preferred)
A genuine hunter mentality — you like chasing and closing, not just answering the phone when it rings
Comfort with numbers: tuition rates, billing, basic P&L thinking
Strong organizational skills — you don't let things slip
Warm, professional presence with parents; direct, accountable presence with ownership
PA Chapter 3270 knowledge a plus (or willingness to learn fast)
Marketing/social media savvy
