    Job Title: Assistant Multi-Family Property Manager Location: East Side of Cleveland, Beechwood Area OH Portfolio: 300+ Units Across Multiple Locations

    Job Summary:

    We are seeking a detail-oriented and motivated Assistant Multi-Family Property Manager to support the management of a diverse portfolio of 300+ residential units across multiple locations in the Woodmere/Beechwood area. This role is ideal for someone with property management experience who excels in tenant relations, leasing, and operational support. The Assistant Property Manager will work closely with the Property Manager to ensure efficient operations, tenant satisfaction, and compliance with local housing regulations.

    Key Responsibilities:

    Tenant Relations & Customer Service

    Act as the primary point of contact for tenants, responding promptly to inquiries and concerns.

    Assis with tenant move-ins and move-outs, ensuring smooth transitions.

    Maintain a high level of customer service such as but not limited to tenant relations, address tenant issues, and service requests in a timely manner.

    Take messages if necessary for other staff members.

    Leasing & Tenant Relations:

    Assist with leasing activities, including marketing vacant units, conducting property tours, and processing applications.

    Maintain positive tenant relationships by responding to inquiries, concerns, and maintenance requests in a timely manner.

    Conduct lease renewals and manage tenant retention strategies.

    Enforce lease agreements, including rent collection (delinquencies), late fee assessments, and lease violation follow-ups.

    Involvement in 3 day notice including preparing and delivery notice and appearing in court.

    Operations & Maintenance:

    Coordinate and track maintenance work orders, ensuring timely completion and quality service.

    Conduct property inspections to identify maintenance needs and ensure compliance with property standards.

    Assist in vendor and contractor coordination for repairs and property improvements.

    Monitor and enforce property rules, policies, and safety procedures.

    Financial & Administrative Support:

    Assist with rent collection, posting payments, and following up on delinquencies. Prepare and maintain reports on occupancy rates, leasing activity, and maintenance expenses.

    Support budgeting efforts by tracking expenses and identifying cost-saving opportunities.

    Compliance Legal:

    Ensure compliance with local, state, and federal regulations in particular Fair Housing Laws.

    Assist in maintaining legal documentation, including tenant files, leases, and safety records.

    Ensure that property inspection (insurance and governmental) and safety audits are conducted in accordance with all laws and regulations.

    Qualifications & Skills:

    Experience: 1-3 years in property management, leasing, or a related field. Multi-family experience preferred.

    Education: High school diploma required; associate or bachelor’s degree in real estate, business, or a related field preferred.

    Skills:

    Strong communication and customer service skills.

    Proficiency in property management software (e.g., Yardi).

    Ability to multitask and manage multiple properties efficiently.

    Detail-oriented with strong problem-solving skills.

    Requirements:

    Valid driver’s license and reliable transportation for site visits.

    Ability to work occasional weekends.
