About the Role:

Join the dynamic team at One Hour Heating & Air Conditioning as an Assistant Office Admin/Dispatcher! This exciting role offers the opportunity to support our office operations and contribute to delivering exceptional customer service in the HVAC industry. We need an experienced office assistant/dispatcher to help mid day & weekends, part time. Approx 25-30 hours a week* Position to be filled immediately.

Responsibilities:

Assist in daily office activities and administrative tasks.

Coordinate scheduling for service appointments and technician dispatch.

Maintain accurate records and files for customer interactions.

Handle incoming calls and respond to customer inquiries with professionalism.

Make outbound calls, follow up calls, and respond to emails.

Support billing and invoicing processes to ensure timely payments.

Collaborate with team members to improve office efficiency and workflow.

Provide exceptional customer service to enhance client satisfaction.

Keep office clean and organized.

Attend team training/meetings as needed.

Requirements:

High school diploma or equivalent; additional education is a plus.

Proven experience in an administrative or trade office support role.

Strong organizational skills and attention to detail.

Excellent communication skills, both verbal and written.

Proficiency in Microsoft Office and Docs.

Ability to multitask and prioritize effectively in a fast-paced environment.

Positive attitude and a team-oriented mindset.

Experience in the HVAC or service industry is not required, but is a plus.

Previous Service Titan or similar CRM software experience.

Previous dispatching/scheduling experience preferred.

Ability to work alone and multi-task; self motivate.

Bilingual (Spanish) a plus.
