    We are a boutique law firm focused on homeowner association (HOA) collections, seeking a detail-oriented and dependable Assistant Office Manager / Accounting Assistant to support both our financial processes and daily office operations.

    This role is ideal for someone who enjoys working with numbers, thrives on accuracy, and takes pride in keeping systems organized and running smoothly.

    Key Responsibilities

    Accounting & Financial Duties

    Review HOA collection files for accuracy, balances, and proper documentation

    Prepare and generate monthly client invoices

    Process weekly disbursements and ensure accuracy of payments

    Reconcile accounts and assist with tracking incoming and outgoing funds

    Identify and correct discrepancies in financial records

    Maintain organized and accurate financial documentation

    Office Management Support

    Assist with day-to-day office operations and workflow coordination

    Help maintain internal systems, processes, and organization

    Track tasks and deadlines to ensure work is completed on time

    Provide administrative support to attorneys and staff as needed

    Assist with mail processing and general office functions

    Qualifications

    Prior experience in accounting, bookkeeping, or law firm operations preferred

    Experience with collections, HOA management, or legal billing is a plus

    Strong attention to detail and accuracy (this is critical for success in this role)

    Ability to manage multiple tasks and meet deadlines consistently

    Proficiency with Microsoft Office (especially Excel) and accounting or case management software

    Strong organizational and problem-solving skills
