    POSITION: Assistant Property Tax & Deduction Deputy

    DEPARTMENT: Auditor

    WORK SCHEDULE: 8:00 a.m. - 4:30 p.m., M-F

    JOB CATEGORY: COMOT (Computer, Office Machine Operations, Technician)

    STATUS: Full-time

    FLSA STATUS: Non-exempt

    Incumbent serves as Assistant Property Tax & Deduction Deputy for Steuben County Auditor, responsible for the maintenance of real estate tax records and assisting the public.

    DUTIES:

    Responds to inquiries and assists the public, including locating plat maps key and parcel numbers, and researching transfer dates and ownership.

    Assists the public in completing and filing exemptions, including homestead, age, veterans, blind/disabled, geothermal/solar/wind/hydroelectric devices, and non-taxable filings. Assists the public with mailing address changes.

    Applies new exemptions and deductions to property. Reviews deductions to verify calculations for accuracy and correctly applied to qualifying properties. Removes exemption or deduction if taxpayer or property no longer qualify.

    Processes incoming and outgoing mail, opening the mail room, and maintaining the mail machine.

    Maintains the State of Indiana Homestead database with removals of homestead deductions, processing of deeds, and transfer documents.

    Maintains various records, including Occupancy Permits from city or County, records from the city or County of new physical address changes, record of bonds and Elected Officials term dates, and Conflict of Interest paperwork.

    Processes Sewer Liens and enters information into the computer to calculate property taxes.

    Receipts in money for transfers, copies, and maps.

    Assists with reviewing deduction filings to ensure numbers are accurate for Abstract.

    Performs related duties as assigned.

    I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:

    High school diploma or HSE.

    Working knowledge of basic bookkeeping principles, and ability to perform arithmetic calculations, receive, receipt, and record monies, reconcile and maintain accurate records, reports and forms as required.

    Working knowledge of standard office policies and practices and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.

    Working knowledge of legal descriptions and County land areas, plats, and deeds, with the ability to accurately process, draw, record, interpret, and verify property records and maps.

    Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare documents and forms, and maintain records as required.

    Ability to provide public access to, or maintain confidentiality of, Department information and records according to state requirements.

    Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

    Shall comply with employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

    Ability to understand, memorize, retain, and carry out written and oral instructions and present findings in oral or written form.

    Ability to work alone with minimum supervision and with others in a team environment.

    Ability to work on several tasks at the same time, often under time pressure, and complete assignments effectively amidst frequent distractions and interruptions.

    Ability to type with speed and accuracy and properly operate standard office equipment, including computer, calculator, typewriter, printer, copier, scanner, and telephone.

    Ability to occasionally work extended, weekend, and/or evening hours.

    II. RESPONSIBILITY:

    Incumbent performs a variety of bookkeeping and computer data entry duties according to a flexible, customary routine with priorities determined by seasonal deadlines and the service needs of the public. Work is periodically reviewed at critical phases for technical accuracy and adherence to instructions and guidelines. Errors in the incumbent's work are usually prevented through procedural safeguards and are readily detected through standard bookkeeping checks and/or notification from other departments, agencies, or the public. Undetected errors may result in loss of time to correct errors and/or inconvenience to other agencies or the public.

    III. PERSONAL WORK RELATIONSHIPS:

    Incumbent maintains frequent contact with co-workers, other County departments, and the public, for the purpose of exchanging information.

    Incumbent reports directly to Administrative Supervisor and Property Tax Billing Deputy.

    IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:

    Incumbent performs duties in a standard office environment and at a service counter, involving sitting/walking at will, sitting/standing for long periods, lifting/carrying objects weighing less than 50 pounds, keyboarding, close/far vision, speaking clearly, and hearing sounds/communication.

    Incumbent is occasionally required to work extended, weekend, and/or evening hours.
