    International Department Manager Responsibilities include providing administration and operation. Supports International Department staff through a variety of tasks related to organization and communication. Relies on experience and judgement and provides a wide degree of creativity and latitude in problem resolution in order to accomplish goal. Familiar with a variety of the field’s concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality within a timely manner. Responsible for confidential and time sensitive material. Responsibilities include but not limited to:• Order processing –o Receive PO and follow order processo Confirm with Account Manager details, communicating effectively o Check account for accounting status (past dues, credit limits, and/or upcoming payments)o Attempt to upsell  Case counts Promotions Introducing items that have not been purchased Upsell to meet sku Dept. goalso Add on credits/incentives with Account Manager’s knowledgeo Following each customer’s special requirements throughout order processo Communicate effectively with customer throughout order process with constant follow-upo Manage order process o Communicate with warehouse on order and any special needs/instructionso Communicate status on inventory with staff and customerso Ship quotes: requesting with warehouse, providing detail and options to customers, follow-upo Confirm shipment and tracking with customerso Manage Shipping Profiles for each distributor and update as necessary to ensure shipment requirements are met for every shipmento Collect Bill of ladings when requested for auditing purposeso Using logic to ensure customer’s and business needs are taken into consideration during ordering process• Returns management –o Respond to complaints and update distributor through the processo Communicate with Ops, if necessary (large returns, defective lots)o Arrange RMA and labels o Confirm returned product and crediting • Accounting –o Collectionso Payment reminderso Credit Card transactionso Credit Memo submissionso Wire notifications to Accounting- Incomingo Wire requests- Outgoingo ensuring all expenses on expense reports follow the proper GL code according to our budgeto for every expense according to budget and receipts are included on all expense reports• Administrative –o Organize and schedule meetings/appointments for Dept. Staff when necessaryo Maintain contact distribution listso Produce and distribute correspondence memos, letters, faxes and documentso Assist in the preparation of regularly scheduled reportso Maintain filing system (hard copies and digital copies)o Generate reports o Handle multiple projectso Contribute to team effort by accomplishing related results as neededo Carry out administrative duties such as filing, typing, copying, binding, scanning etc.o Organize travel arrangements for senior managers as requestedo Write letters and emails on behalf of other office staff as requestedo Book conference calls, rooms, couriers, hotels etc. o Handle sensitive information in a confidential mannero Reply to email, telephone, or face to face inquirieso Create/implement SOPs for administrative taskso Resolve administrative problems independentlyo Receive, sort, and distribute department mail as neededo Greet, assist, and provide general support to visitors o Photocopy and print out documents on behalf of other colleagueso Heavy data entryo Order necessary stock (Product and Office Supplies)• Customer service – o Unhappy customers or special needs on case by case basis – problem solvingo Escalation of such supporto Referencing and providing to customers approved official responses to complaintso Communicate with other departments when necessary o Submit uncommon questions/complaints to Project Manager o Submit web inquiries received to contracted distributor for that countryRequirements: • Managerial experience • Knowledgeable in office management systems and procedures• Excellent time management skills and ability to multi-task while prioritizing duties• Attention to detail and problem-solving skills• Excellent written and verbal communication skills• Knowledgeable in international logistics a plus• Strong organizational, record-keeping and planning skills• Highly Proficient in MS Office; Microsoft NAV experience a plus• High school diploma or equivalent; college degree preferred
