    Responsibilities include, but are not limited to:

    • Ordering supplies
    • Preparing mail, packages and deliveries
    • Managing/issuing key cards
    • Liaison between employees and building maintenance for any facility issues, repairs or inquiries
    • Liaison with service providers to ensure continuity of service (i.e. water, express mail, etc.)
    • Managing office supplies and food/drink/kitchen items including the ordering or purchasing, (at times may require in-person pick-up) storing and tracking of quantities and shipping to various offices, ensuring costs are contained
    • Assisting with planning and execution of in-office celebrations and office catering needs
    • Scheduling meetings, lunch/dinner reservations, car service as needed
    • Maintaining a professional and safe working environment by keeping the office clean, fully stocked and well organized
    • Assisting HR in ensuring office meets compliance and legal requirements in regard to safety, employment regulations, etc.
    • Ownership and maintenance of company-wide Smartsheet including prioritization and re-prioritization of action items and deliverables including tracking due dates and ensuring follow-up of all participants
    • Supporting the President/CEO’s engagement with the senior leadership team, including preparation for various board and staff meetings, gathering all of the data and pursuing senior leadership to ensure that their content is timely and meets the President/CEO’s needs
    • Arranging complex and detailed travel plans for staff and clients, including international travel; maintaining relationships with local hotels for corporate rates
    • Event planning
    • Producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
    • Administrative support in maintaining licenses, leases and contracts
    • Creation and maintenance of company org charts, as directed by VP, HR & President/CEO
    • Must be available and ready for unexpected daily needs of office and staff
    • Other duties and special projects as required and assigned by management

    Required Skills

    • Minimum of five years of administrative support experience.

    • Detail-oriented with the ability to see the big picture and understand how the details relate to the overall mission and growth strategy of the organization.

    • Ability, willingness and initiative to think independently, problem solve, make decisions and take the lead on projects and tasks.
    • Understanding and comfort with a work environment where the demands of the job do not always follow a regular work day schedule.
    • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
    • Ability to maintain confidentiality of work-related information and materials.
    • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
    • Multi-tasking skills, organized, detailed, some project facilitations skills
    • Some local travel necessary
