    Job Description

    TITLE:  Administrative Assistant for Student Services

    REPORTS TO:  Director of Student Services

    SUMMARY:  To assist and relieve the Director of Student Services of paperwork and  impediments, so that he/she may devote maximum attention to the central problems of education and educational administration; also, to contribute to effective school/public relations by prompt and courteous handling of all inquiries and visitors.

    ESSENTIAL FUNCTIONS:

    • Prepare Student Services Staff list, correspondence, interoffice forms, and other related material.

    • Schedule and maintain a record of appointments.

    • File office correspondence records and inventories.

    • Distribute notices, memorandums, directives, and curriculum materials as requested.

    • Collect and compile information for miscellaneous projects for the Director of Student Services.

    • Assist the Director of Student Services in compiling data and submitting reports to meet established deadlines and schedules.

    • Prepare and maintain records of purchase requisitions for mileage, contracted services, subscriptions, supplies, equipment, and conferences.

    • Receive incoming mail from schools and other mail from outside sources.

    • Screen telephone calls for Director of Student Services and respond appropriately to requests for information and materials from administrators and staff.

    • Assist Director of Student Services in preparation of professional development events, in addition to tracking attendance and certification platforms.

    • Support the logistical set up for professional development events for the Student Services’ Department.

    • Register, organize attendance, communicate logistics for conferences of Student Services’ Department.

    • Assist Director of Student Services in preparation of state and federal reports.

    • Keep accounts of purchases made by Special Education staff.

    • Assist the Director of Student Services with the preparation for Extended School Year (i.e. hiring process, contracts, transportation of students, arrangement of materials and equipment).

    • Compile results of surveys and needs assessments.

    • Prepare and distribute pre-assessment forms, and guides as directed by the Director.

    • Prepare agenda items for board meetings.

    • Maintain grant expenditures, files, and pertinent information related to Special Education grants.

    • Comply with safety procedures to reduce the potential for personal injury or damage to district equipment.

    • Knowledge and execution of principles and processes for providing customer services including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

    • Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

    • Perform other duties as assigned.

    • Regular, in person, attendance and punctuality are required.

    TERM OF EMPLOYMENT:  8 hours/day, 12 months/year (benefits eligible)

    SALARY:  $12.15/hour

    EVALUATION:  Performance of this job will be evaluated annually by the Director of Student Services.

    Qualifications

    QUALIFICATIONS:

    • High school graduate.  Additional training in secretarial skills, accounting, and computer operations preferred.

    • Demonstrate word processing skills, spreadsheet, and data base knowledge.

    • Demonstrate competence for assigned responsibility and maintain confidentiality of student records and files.

    • Demonstrate ability to maintain clerical records and prepare reports from such records.

    • Ability to follow oral and written directions.

    • Ability to get along well with others.

    • Exercise good judgment, tact, and courtesy.

    • Strengths in organizational skills and attention to detail.

    • Demonstrate the ability to maintain complex clerical records and prepare statistical reports.

    PHYSICAL REQUIREMENTS:

    • Stooping: Bending body downward and forward by bending spine at the waist, requires full use of the lower extremities and back muscles.

    • Kneeling: Bending legs at knee to come to a rest on knee or knees.

    • Reaching:  Extending hand(s) and arm(s) in any direction.

    • Fingering: Picking, pinching, typing/keyboarding or otherwise working primarily with fingers rather than with the whole hand or arm as in handing.

    • Grasping: Applying pressure to an object with fingers and palm.

    • Talking: Expressing or exchanging ideas by means of the spoken word.

    • Hearing: Ability to receive detailed information through oral communication.

    • Repetitive motions: Substantial movements (motions) of the wrists, hands, and/or fingers.

    • Light work:  Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects.  The worker sits most of the time.

    • Visual Acuity--Clerical: Work deals largely with preparing and analyzing data and figures, accounting, transcription, computer terminal extensive reading, operation of machines at distances close to the eyes.

    • The worker is not substantially exposed to adverse environmental conditions.
