    TRAVEL COORDINATOR  - PMO- NORTHERN, VA

     

    SUMMARY:  

    Plans itinerary and schedules travel accommodations for employees using knowledge of routes, types of carriers and travel regulations. Verifies travel orders to insure costs, availability, and convenience of different types of carriers to select most advantageous route and carrier; notifies personnel of travel dates, baggage, limits and medical and visa requirements, and determines that all clearances have been obtained. Assists personnel in completing travel forms and other business transactions pertaining to travel, may deliver personnel files and travel orders to persons prior to departure, meet and inform arriving personnel of available facilities and housing and furnish other information, and may arrange for motor transportation for arriving or departing personnel

    All major modes of transportation are used, as most individual trips involve combinations of more than one mode. Travel is varied, often not recurrent and periodically requires planning for relatively inaccessible intermediate or destination points. Routings are diverse and there is a necessity for frequent rerouting, re-planning, or rearranging, with many side trips requiring changes in modes of travel and creating substantial difficulty in routing and scheduling connections.

    A substantial amount of travel involves special allowances or requires authorization and planning for supplementary or special transportation facilities. It is frequently difficult to obtain the required information.

     

    ESSENTIAL JOB FUNCTIONS: (not limited to duties as described - performs related duties as requested)

     

    • Assisting new employees with travel to the Middle East
    • Understanding our Client’s travel requirements and making appropriate travel recommendations
    • Booking domestic and international travel arrangements as needed
    • Perform travel expense reconciliations
    • Prepare employee expense reports for reimbursements of travel costs
    • Providing excellent customer service and follow-up
    • Limited office administrative duties such as ordering of materials and supplies, facilitating office related invoice payments, and interface with landlord for facility related needs

    KNOWLEDGE:

    • Complete understanding and application of principles, concepts, practices, and standards. Full knowledge of industry practices.

    MINIMUM EDUCATION & EXPERIENCE:

    • This position involves heavy customer (employee) interaction and therefore requires superior customer service.
    • 3 to 5 years of experience a Travel Agent desired
    • Bachelor’s degree or equivalent years of experience desired
    • In addition, we seek the following background/skills:
    • Experienced Travel Agents
    • Strong knowledge of the airline travel system
    • Proven experience planning and booking international travel
    • Strong computer skills; Microsoft Excel, Word and Outlook
    • Positive, outgoing demeanor and the ability to work well under high ops tempo

    • Knowledge of merchandise handling and production methods.
    • Some knowledge of basic math skills such as adding, subtracting, multiplying, and dividing.

    • Ability to be trained on the operation of power and/or hand tools; greet individuals, answer phones, and provide information to customers; bend, stoop, lift and move objects weighing up to 50 pounds; stand and walk continuously throughout an 8-hour shift; work in dusty and dirty conditions; handle and store hazardous materials; clean and maintain a safe working environment. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. Operate Forklift, equipment such as pallet jacks. Climb ladders, Squatting-Bending.
    • Typical environments include offices, light industrial, commercial, utility and manufacturing. The noise level in the work environment is usually moderate. Will include outdoor work exposed to elements and non-conditioned warehouse spaces.
