    We are seeking a full-time Administrative Assistant – Branding at our Franklin, TN Office. This position is responsible for assisting with the day-to-day operations and administrative responsibilities in the Branding & Standards program within Business Services. Business Services produces a Standards Guide and this position is responsible for auditing and managing leased and partner sites to meet set standards through signage and the Enrollment Center Quality Control program. This position works with Operations staff and Sign vendor to ensure all properties are meeting quality and branding standards.

     

    ESSENTIAL JOB FUNCTIONS (INCLUDES BUT IS NOT LIMITED TO):

    • Review, track and audit vendor invoices

    • Negotiate and track cost expenditures related to vendor(s)

    • Maintain PR balances against Purchase Orders and projected program expenditures

    • Audit and confirm installation of Seasonal marketing ad campaign updates

    • Approve sign orders and review for accuracy against program requirements based on service types and requirements

    • Order and maintain eCatalog inventory levels based on demand related to brand shifts and EC deployment schedules

    • Maintain eCatalog images and brand representation in accordance with current logos and branding standards

    • Direct the eCatalog vendor on changes needed to maintain accurate branding on the eCatalog

    • Assist with Enrollment Center Quality Control (ECQC) assessment visits in the Enrollment Center network

    • Supports recurring internal and external audit of records

    • Evaluates and streamlines processes

    • Maintain branding element tracking locations, i.e. digital frames and banner shipments

    • Audit and follow-up on shipments and install of branding elements if applicable to project and branding updates

    • Assist and maintain program tools, such as the “Signage Checklist” with the Training Department, in conjunction with the ECQC program

    • Maintain Branding & Standards documents using Adobe InDesign

     

     

     

    Note: In addition to the Essential Functions, also performs similar work-related duties as assigned.

    QUALIFICATIONS, EDUCATION AND EXPERIENCE:

    Required Skills

    • Experience with Print Shops or marketing signage is a plus, but not required

    • Proficiency in Adobe InDesign

    • Tracking data and reporting results through Excel

    • Strong verbal and written communication skills with the ability to write clearly and persuasively

    • Sound decision-making skills and attention to detail

    • Possess a high level of self-motivation and energy, and work with minimal supervision

    • High organizational and time management skills

    • Fosters working relationships with leadership and other contract Points of Contact

    • Ability to support multiple team members and projects simultaneously and prioritize in a fast-paced environment

    • Proficiency Microsoft Office Suite, which includes Word, Excel, PowerPoint, and Outlook

    • Team player attitude and the ability to work as a member of a virtual team with excellent interpersonal skills

    • High energy, positive, “can-do” attitude, flexibility, teamwork, and attention to detail; high degree of initiative.

     

    Required Experience

    • Undergraduate or graduate degree and 3-5 years of experience in a service industry or with a non-profit, or a combination of education and experience that would enable performance of the full scope of the position.
    • Demonstrated customer support skills.

     

    TRAVEL REQUIREMENT, WORKING CONDITIONS AND PHYSICAL DEMANDS:

    Travel requirement, such as:

    • Ability to travel locally for activities such as meetings, classes, and workshops.

    • Must be able to travel occasional by air as needed to attend training, conferences, and related activities.

    • Occasional overnight travel as required; should not exceed 20% of the time.

    Working Conditions, such as:

    • General office environment. The work area is adequately lighted, heated, and ventilated.

    Physical Demands, such as:

    • Office environment where the employee may sit comfortably to do the work. Some walking, standing, bending, reaching, and carrying of light items such as papers, books, small parts; driving an automobile, etc. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment.
