    This role provides administrative support to the President of the overnight cruise division, including but not limited to scheduling; organization of records, files and other documents; and travel booking and coordination.

     

    DUTIES & RESPONSIBILITIES

    • Welcomes guests of the President by greeting them, in person or on the telephone; answering or directing inquiries
    • Routes correspondence, initiates telecommunications as requested, and provides general support
    • Maintains calendars and appointments
    • Plans and schedules meetings and travel
    • Drafts letters and documents for signature
    • Prepares reports and presentations by collecting and analyzing information
    • Coordinates and manages projects as requested, including handles or coordinates any special projects or assignments from Vice Chairman & CEO as needed
    • Works well with Executive Assistant and Office Manager on any special projects, and/or meeting or event set-ups
    • Ensure behavior and performance supports the company’s Mission
    • Follow company values in responding to others in work situations
    • Meet “standards for service” behaviors
    • Use recovery steps to respond to others who are dissatisfied
    • Make hospitality standards an important part of day-to-day duties
    • Be a STEAM System example for others
    • All other duties as assigned

     

    MINIMUM QUALIFICATIONS & REQUIREMENTS

     

    EDUCATION:                                                   

    • Bachelor’s Degree Required

     

    SKILLS & ABILITIES:

    • Demonstrated skill and proficiency in Microsoft Office, with a high concentration in all Microsoft Office products (Outlook, Word, Excel, Powerpoint), as well as Adobe (Professional)
    • Exceptional skill in oral and written communications, including effective executive-level presentation skills; proofreading and editing
    • Demonstrated energy, drive, determination and persistence to achieve goals
    • Ability to carry out multiple assignments concurrently
    • Ability to interact effectively at all levels and across diverse cultures
    • Ability to adapt to changes in the organization and work environment
    • Excellent planning, organizing and leadership/supervisory skills
    • Strong customer service and results orientation
    • Must be willing to accept changes of direction in work and priorities with a positive attitude
    • Must be a proactive thinker and constantly think ahead to better serve our customers, both internal and external; must also be able to anticipate needs of President and work proactively to ensure precise organization and smooth operation of the President's office

     

    EXPERIENCE:

    • At least 5 years of experience in similar role

     

    OTHER:

    • Must be at least 21 years of age
    • Submit to and pass alcohol and drug tests including but not limited to pre-employment, random, reasonable suspicion and post-accident/incident testing.

     

    WORKING CONDITIONS:

    • Office environment; elevator and stairs available.  Work is administrative in nature.

     

    PHYSICAL REQUIREMENTS:

    • Ability to sit at a desk for extended periods of time
    • Ability to stand and walk frequently
    • Ability to bend, rotate and reach frequently
    • Ability to carry, push/pull and/or lift materials weighing up to 35-40 lbs
    • Ascending/descending stairs safely
    • Ability to manipulate/handle/grip materials required to perform job
