This role provides administrative support to the President of the overnight cruise division, including but not limited to scheduling; organization of records, files and other documents; and travel booking and coordination.
DUTIES & RESPONSIBILITIES
- Welcomes guests of the President by greeting them, in person or on the telephone; answering or directing inquiries
- Routes correspondence, initiates telecommunications as requested, and provides general support
- Maintains calendars and appointments
- Plans and schedules meetings and travel
- Drafts letters and documents for signature
- Prepares reports and presentations by collecting and analyzing information
- Coordinates and manages projects as requested, including handles or coordinates any special projects or assignments from Vice Chairman & CEO as needed
- Works well with Executive Assistant and Office Manager on any special projects, and/or meeting or event set-ups
- Ensure behavior and performance supports the company’s Mission
- Follow company values in responding to others in work situations

- Use recovery steps to respond to others who are dissatisfied
- Make hospitality standards an important part of day-to-day duties

MINIMUM QUALIFICATIONS & REQUIREMENTS
EDUCATION:
- Bachelor’s Degree Required
SKILLS & ABILITIES:
- Demonstrated skill and proficiency in Microsoft Office, with a high concentration in all Microsoft Office products (Outlook, Word, Excel, Powerpoint), as well as Adobe (Professional)
- Exceptional skill in oral and written communications, including effective executive-level presentation skills; proofreading and editing
- Demonstrated energy, drive, determination and persistence to achieve goals
- Ability to carry out multiple assignments concurrently
- Ability to interact effectively at all levels and across diverse cultures
- Ability to adapt to changes in the organization and work environment
- Excellent planning, organizing and leadership/supervisory skills
- Strong customer service and results orientation
- Must be willing to accept changes of direction in work and priorities with a positive attitude

EXPERIENCE:
- At least 5 years of experience in similar role
OTHER:
- Must be at least 21 years of age
- Submit to and pass alcohol and drug tests including but not limited to pre-employment, random, reasonable suspicion and post-accident/incident testing.
WORKING CONDITIONS:
- Office environment; elevator and stairs available. Work is administrative in nature.
PHYSICAL REQUIREMENTS:
- Ability to sit at a desk for extended periods of time
- Ability to stand and walk frequently
- Ability to bend, rotate and reach frequently
- Ability to carry, push/pull and/or lift materials weighing up to 35-40 lbs
- Ascending/descending stairs safely
- Ability to manipulate/handle/grip materials required to perform job
