    Avantik is currently seeking a TRADESHOW & EVENT COORDINATOR who is highly organized with impeccable project management skills, prioritization skills, and able to juggle multiple events with a high attention to detail and accuracy in a deadline-driven environment. This person will be responsible for event coordination and logistics management of the company’s tradeshows, education, and corporate events. They will also support and facilitate execution of traditional and digital marketing tactics related to events, new product launches, promotional activities and general marketing initiatives.

     

    RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

     

    • Manage logistics of all shows and events including planning, design, accommodations, furnishings, booth flow, graphics, videos, representative registration, and onsite preparation, install, logistics, etc.
    • Manage, coordinate, and monitor tradeshow calendar and timelines, logistics and deliverables and ensure all deadlines are met.
    • Coordinate pre-show strategy, pre-show meetings, logistics meetings and planning, post-show debrief meetings and vendor coordination
    • Generate timely communications for tradeshow staff and stakeholders, including information about advertising efforts, location of displays, schedules, shipping information, etc., to ensure objectives and requirements are understood.
    • Manage timely shipping and delivery of multiple display items going to various shows.
    • Collect, record, and track all event-related expenses from all involved sources.
    • Collaborate in the monitoring of ROI and proactive communicate and report on this postmeeting
    • Manage lead retrieval and process final show leads while ensuring they are entered into CRM in a timely manner.
    • Gather all trade show information for upcoming season (including location, demographic information, attendance numbers, cost, hotel options). 
    • Facilitate contracts against allocated budgets and proper distribution of information.
    • Manage tradeshow inventory and swag so we are adequately stocked for trade shows. 
    • Execute and manage marketing tasks related to events including production of collateral and other marketing materials.
    • Lead on-site for all major tradeshows and ensure appropriate support for any events not attended, is organized, and supported

    QUALIFICATIONS:

    • 3-5 years’ experience with event planning and execution
    • Must possess an acute attention to detail and ability to effectively communicate such
    • Ability to perform under pressure and meet tight deadlines
    • Strong organizational and time management skills necessary
    • Good interpersonal, written, and verbal communication skills
    • Must be able to work independently and as part of a diverse team

    TRAVEL REQUIRED THIS POSITION REQUIRES APPROXIMATELY 30-40% ANNUAL TRAVEL.
