    Job Description

     Marketing Administrator

    JOB DESCRIPTION

     Immediate full-time position available for a Marketing Administrator based in Huntington Beach, CA. The candidate will be responsible for proactive support and management of all needs of the CEO of a small and rapidly growing software company.

    RESPONSIBILITIES:

    ·         Constantly support the immediate and ongoing needs of the CEO

    ·         Proactively communicate with CEO on high priority activities

    ·         Manage all CEO Emails throughout the day and respond according to priorities – coordinate important Media/Customers/Prospects/Partner meetings and needs and EE deliverables/needs

    ·         Proactively schedule meetings and maintain CEO’s schedule/calendar

    ·         Run CEO errands as needed

    ·         Manage/Respond to LinkedIn Messages & Connection Requests throughout day. Identify priority contacts and coordinate meetings & input Salesforce leads

    ·         Manage CEO activities / tasks / reports from Salesforce

    ·         Coordinate and complete tasks and data needs for and with PR agency

    ·         Manage Members/Coordinate events and communications for XR for Business Forum LinkedIn, XR4B Meetup, VRARA Orange County etc. --- Grow # of Connections and members for each association

    ·         Respond to Nominations, Request for Speaker, Media Requests, Podcast requests etc.

    ·         Proactively seek out media podcasts, television/web interviews, articles, thought leadership presentations, tradeshow presentations, and other speaking/thought leadership events etc.

    ·         Proactively check that  Website, LinkedIn and Media Content is Consistent and up to date – work with PR Agency to bring up to date

    ·         Complete & submit CEO expenses/receipts bi-weekly

    ·         Generate reports from salesforce

    ·         Support Ecosystem Partner onboarding and activities

    ·         Attend marketing/media meetings on behalf of CEO and provide meeting notes to CEO, highlighting need-to-knows

    ·         Assist CEO in developing marketing collateral, PowerPoints and meeting content

    ·         Review Contracts & coordinate CEO/Management review/completion

    ·         Coordinate planned and last-minute marketing and executive management events and activities

    ·         Coordinate/schedule executive travel

    ·         Organize and maintain accounts, records, and files

    ·         Manage/coordinate managerial, guest meetings and tours to OC Showcase Office

    ·         Support office staff (Operations, HR, Accounting) as needed

    ·         Serve as a liaison between CEO and the executive team, other departments, and external clients

    ·         As needed, answer company phone during business hours and, screen/route calls in a timely manner to appropriate personnel

    ·         Move equipment, packages between offices/facilities as needed

    ·         Complete one-off projects on behalf of CEO

    QUALIFICATIONS:

    ·         3 years minimum as a Social Media & Marketing Assistant in the software technology industry

    ·         Self-Starter and proactive requiring minimal hands-on management

    ·         Able to think 5 steps ahead of CEO and have solutions in place before they are anticipated

    ·         Top-notch communication skills in composing emails, in-person meetings, and phone calls

    ·         Flexible and adaptable self-starter with strong relationship skills

    ·         Positive, collaborative and team-oriented attitude

    ·         Proficient knowledge of Word, Excel, PowerPoint, and Salesforce

    ·         Excellent problem solving and critical thinking skills

    ·         Demonstrated ability to think outside the box

    ·         Extremely detail-oriented with impeccable follow-through

    ·         Works well in a demanding and fast-paced office environment

    ·         Superior work ethic with impeccable attendance and punctuality

    ·         Extremely discreet and sensitive with confidential information

    ·         Able to prioritize tasks effectively

    ·         Consistently execute plans with a high level of accuracy and quality

    PREFERRED QUALIFICATIONS

    ·         4-year college degree in business or equivalent experience
