    Job Description

    JOB SUMMARY:

    The Financial Administrator will be responsible for a range of financial and administrative responsibilities across multiple companies. Duties include accounts payable, IT workstation support, and general administrative support.

    DUTIES/RESPONSIBILITIES:

    • Data input and assistance managing the accounts payable function across multiple companies.
    • Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
    • Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments as needed.
    • Assists with accounting records and ledgers by reconciling monthly statements and transactions.
    • Assists with insurance administration across multiple companies.
    • Provides IT support, including basic troubleshooting, software and hardware upgrades, new computer and MS Office account setups. Assists personnel with common inquiries such as username and password issues, printer issues, and installation issues.
    • Assists with document retention and filing (electronic and physical) across multiple companies.
    • Provides office support services to other administrators and/or executives.
    • Other related duties as assigned.

    REQUIRED SKILLS/ABILITIES:

    • Must be discreet, reliable, and extremely trustworthy.
    • Must be proficient in Microsoft Office Suite or related programs.
    • Must be able to learn other accounting software systems.
    • A willingness and ability to handle multiple priorities and adapt quickly.
    • Excellent organizational skills and attention to detail.
    • Ability to maintain confidential and meticulous records.

    EDUCATION AND EXPERIENCE:

    • High school diploma required; bachelor’s degree in Business or Accounting preferred.
    • Knowledge of QuickBooks is a plus.
    • Prior experience with accounts payable, IT workstation support, and general administrative tasks.

    SUPERVISORY RESPONSIBILITIES:

    • None.
