Responsibilities:
Greet clients and set a positive and professional office atmosphere
Responsible for opening and closing the business day
Answer multi-line phones, take messages, and redirect calls to appropriate offices / staff
Main point of contact for clients and visitors
Maintain conference room calendars
Maintain documents, spreadsheets, and filing systems
Maintain computer and manual filing systems
Maintain inventory of office supplies
Work directly with the Office Manager on a multitude of tasks
Assist staff with the set-up of meetings
Assist staff with expense reports and credit card reconciliation
Assist several departments with daily administrative tasks
Assist departments with employee outings
Assist departments with event preparation
Assist departments with travel arrangements
Prepare workspaces and offices for new hires
Candidates should have a minimum of 2 years’ experience in an administrative capacity, along with the following:
High school diploma
Successful work experience in a front office setting or in a similar administrative position
Strong working knowledge of office procedures and basic accounting principles
Ability to effectively use and maintain office equipment and multi-line phone system
Highly dependable
A strategic and proactive thinker with excellent problem-solving abilities.
Possess strong communication and time management skills with the ability to work in a fast-paced collaborative environment, with the aptitude to multi-task and meet deadlines.
Analytical and detail-oriented.
Proficient in Microsoft Office, with advanced Excel skills
Must be able to lift 50lbs and have a clean driving record
Must be available Mon – Fri 7am – 5pm ( office hours may vary )
