    Job Description

    In need of an experienced Event Administrative Assistant to support the Event Operations Team and Accounting Department for this growing concessions company.

    DAILY ACTIVITIES

    ** EVENTS/RECEPTIONIST DUTIES**

    • Maintain department schedules, calendars, and appointments and coordinate arrangements for meetings, conference and travel.

    • Work with different municipalities on completing proper paperwork for permitting needs.

    • Help maintain company business practices.

    • Maintain highly confidential and sensitive information.

    • Have the ability and flexibility to work in other roles as needed at event sites.

    • Perform duties: answering phones, greeting visitors and purchasing office supplies.

    • Perform filing and general office duties.

    ** ACCOUNTING**

    • Assist accounting team, as needed, with processing accounts payable invoices.
    • Maintain project folders with all estimates, vendor/customer invoices and P&Ls.
    • Set up of POS (point-of-sale) devices (i.e., Square, Toast or Clover) for various events.
    • Heavy cash handling for events.
  • Qualifications

    Qualifications

    • Proficient with Microsoft Office (PowerPoint, Word & Excel) and Gmail.
    • Proven ability to create Excel spreadsheets and executive level PowerPoint presentations.
    • Accounts payable experience utilizing QuickBooks Online or similar system.
    • Experience with POS (point-of-sale) hardware/software (Square, Toast, Clover)
    • Self-motivated individual who possesses a “roll up your sleeves attitude.”
    • Strong organizational and customer service skills with great follow through on tasks
    • Demonstrated project management skills.
    • Experience juggling multiple priorities at one time.
    • High School Diploma or GED
