    Job Description

    ****HUMAN RESOURCES & ADP PAYROLL MANAGER **** TEMP TO HIRE OR DIRECT HIRE!!!!!

    BILINGUAL SPANISH PREFERRED*

    Reporting to the President, the HR & Payroll Manager is a one-person department for approx. 32 employees located in our Los Angeles office and will be on-site 5 days per week. This is a great opportunity for an experienced HR Manager looking to own the employees’ entire HR experience.

    In this role, you will:

    · Coordinate training programs, employee-relations activities and other employee interests including employee counseling, performance appraisal process and benefit programs.

    · Respond to employee inquiries regarding policies, procedures, and benefits.

    · Maintain accurate, updated employee personnel files, including records for payroll (ADP), health insurance and the 401(k) Profit Sharing Plan (Principal), job descriptions and time clock logs.

    · Recruit/fill temporary and permanent open positions, either direct or through agencies. Work with the Company President and managers to determine need, screen applicants and coordinate the interview process.

    · New Hires: Provide offer letter, conduct reference and background checks, on-boarding/ orientation, and set-up employment records/file.

    · Process employee terminations, coordinate final pay with Accounting Manager, and perform exit interview.

    · Mediate employee concerns, such as performance issues or work place conflict, including interviewing and communicating with participants. Consult with managers and employees as needed to encourage good resolution. Follow-up and document as needed.

    · Guide and consult with managers regarding disciplinary warnings and written documentation, if needed. Facilitate discussions with participants.

    · Respond to workers’ compensation claims, including communication, documentation and follow up with employee and/or adjuster.

    · Process and respond to EDD claims.

    · Maintain compensation history for review. Assist Company President in determining appropriate salary and bonus increases.

    · Coordinate required developmental training, including employee health and safety, harassment prevention, policy updates, etc.

    · Maintain accurate documentation and appropriate designation of leaves of absence, e.g., CFRA, PDL, COVID-19 Supplemental Sick Pay, etc. Follow-up as needed.

    · Ensure compliance at all times with Federal, State and local laws, including work place guidelines, training, practices and labor posters are current. Consult with ADP Human Resource liaison for updates or changes.

    · With the Company President, develop and implement new policies, procedures and/or practices as required by Federal, State and local laws. Effectively communicate updates to employees.

    · Update the employee handbook and distribute notices of policy and practice changes as needed.

    · Update and distribute Company Calendar.

    PAYROLL (BI-WEEKLY)

    · Review weekly time records for hourly employees and reconcile time issues with managers. Adjust/correct time as needed (TimeClock Plus).

    · Request and maintain all necessary documentation for missed work hours (vacation, leaves of absence, COVID-19 pay, etc.).

    · Submit payroll data for hourly and salaried employees (ADP). Review records for accuracy and distribute pay stubs to employees.

    HEALTH BENEFITS AND 401(K) PROFIT SHARING PLAN

    Health Benefits Open Enrollment

    · Analyze health benefits package (annually) to determine changes in cost, benefits.

    · Prepare census information for the insurance broker.

    · Distribute individualized worksheets to employees with summary of premium costs, changes.

    Other duties as assigned.
