    ADMINISTRATIVE CARE COORDINATOR & CLIENT CONCIERGE

    Reports to: Chief Operations Officer

    Type: Full Time, 40 hours per week

    W2 Employment position

    This position allows for in person, virtual and/or hybrid combination 

    Detroit, Ann Arbor, Kalamazoo (in person location preference)

     

    DIVISION: OPERATIONS 

    Be a part of creating connections, building loyalty, and increasing engagement for BLND Health. Develop deep knowledge of BLND Health, mission and vision to lead exceptional administrative operations and optimize the client experience. 

     

    ADMINISTRATIVEtasks include, but are not limited to:

     

    ·      Must have proficiency and proven knowledge with book keep systems (Quickbooks or Bench), payroll software (ADP), and electronic medical records (Jane, Simple Practice, Epic. 

    ·      Administer payroll (via ADP) and work together with Chief Operations Officer to lead the administration of payroll, process accounts receivables daily and transmit accounts payables. 

    ·      Coordinate and manage timely submission of employee hours, reimbursements, and clinical bookings. 

    ·      Produce reports such as, but not limited, to: referral sources, accounts receivables, daily ledger, clinical hours, etc. 

    ·      Maintain compliance and obligations due to insurance, legal documents and State of Michigan per LLC expectations as well as NASW expectations. Point of contact with landlords, bank, lawyer and other vendors.

     

    HUMAN RESOURCEtasks include, but are not limited to:

    ·      Coordinate and manage employee checklist for new hire process, licensing standards, background checks, exit process and human resource standards in employment experience.

    ·      Maintain employee files with up to date forms and status to correlate with ADP

    ·      Work alongside leadership team to support on-boarding experience and engagement retention of the BLND Health team.

     

    CONCIERGEtasks include, but are not limited to:

    ·      Partner with clients to effectively complete contract transactions, respond to inquiries, resolve issues, and communicate thoughtful, customize solutions and for client retention, cultivation and stewardship. 

    ·      Lead the client experience by working together with clinicians and client to efficiently complete new client profile with welcome package, intake forms, health care reimbursement information, billing expectations,

    ·      Collaborate with internal team members to support with their client engagement, identify opportunities to enhance the client experience, and remove roadblocks for clients/team members. 

    ·      Respond to and proactively reach out to clients to offer follow up support, promotions, company news, and other forms of proactive communication (across all communications).

    ·      Work with potential clients and their families to answer any questions and ensure a smooth transition to BLND Health.

    ·      Demonstrate empathy, compassion, and respect for clients in all interactions by delivering exceptional service to clients.

     RESPONSIBILITIES

    ·      Responsible for the day-to-day management of the BLND Health electronical medical records, accounts payables and daily administration.

    ·      Contributes directly to the development, implementation and enforcement of all billing, collections, HIPAA patient Privacy Rights dissemination and tracking. 

    ·      Support with scheduling and rescheduling clients, communicate with clients online and over the phone, obtain pay information, coordinate client documentation

    ·      Serves as the recognized technical expert within BLND Health on the proper use and function of the electronic medical record and accounting software.

    ·      Will implement and enforce policies and procedures with regard to the company-wide use of the software.

    ·      Maintains knowledge and ensures compliance with all relevant state and federal HIPAA regulations as well as accrediting bodies, which govern the management, use and sharing of confidential health information.

    ·      Puts clients first in ensuring they receive the best possible care in mental health care and beyond.

    PREFERRED QUALIFICATIONS 

    ·      Bachelor’s degree in Business Administration, Accounting or Finance, Hospitality and two years of experience in a medical or health care setting.

    ·      Combinations of related education and experience may be considered.

    ·      Must possess exceptional customer service skills. 

    ·      Experience with ICD-9 and ICD-10 medical diagnosis coding, CPT medical procedure coding, strong organizational and communication skills.

    ·      Experience with Electronic Medical Record and accounting software. 

    ·      Must be passionate about creating more accessible opportunities for people to help people make life-long change.

     

    Work as part of a team (many of whom are remote) to support marketing and business development with outreach, strategic planning, research, and other tasks as needed.

    Demonstrate empathy, compassion, and respect for clients in all interactions.

     

    Works in collaboration with BLND leadership to develop growth development strategies and approaches to further BLND program development goals. Work in collaboration with the COO to ensure that proposed efforts can be achieved and operationalized successfully in a timely fashion to ensure mission and vision of BLND Health.

     

    Represents BLND internally and externally to potential prospects and peer agencies: establishes productive, ongoing relationships with high-level administrative and professional personnel in relevant service fields, both private and public; presents at conferences and educational meetings; and leads professional seminars and meetings. Attend monthly meetings and meet with supervisors regularly to discuss SWOT at BLND and other relevant issues as needed to ensure alignment with agency and department goals and objectives. Other duties as assigned.

     

    Possesses a high degree of emotional intelligence, natural sales skills and proven ability to create and sustain relationships on behalf of leadership. Possesses cross-cultural awareness, humility, and interpersonal awareness. Ability to prioritize tasks, manage time and complete projects in a fast-paced, changing environment with minimal hand holding.
