As the Chief of Staff (Executive Assistant to the CEO), you will help us live out our Vision & Mission and meet our growth-oriented goals as the premier heating, cooling, electrical, and plumbing service provider in Northwest Washington. This role will serve as the integrator for the CEO. A successful candidate will demonstrate sound judgment, strong organizational skills, professionalism, proactive support, and discretion with the ability to operate across all levels of the organization, while multi-tasking against multiple critical priorities. The successful candidate will also be a solution-driven, proactive problem-solver that is comfortable working with both online and paper-driven systems, and strongly embraces change and continuous improvement. The candidate selected for this role may serve as an interim member of the Human Resources team to cover for maternity leave.

    Assist in the integration of the Sales, Service & Operations (COO) and Finance/Admin (CFO) sides of the Company – Growth-Oriented

    At Barron, the Chief of Staff (Executive Assistant to the CEO) will:

    Anticipate the needs of the CEO and support day-to-day operations to ensure timeliness of meetings/appointments and awareness of current priorities

    Ensure that the CEO is prepared for all meetings, coordinating communications and materials

    Assist in internal and external challenges that arise to reduce CEO’s daily operational workload

    Handle written and verbal correspondence for CEO, as assigned

    Create and modify esthetically pleasing documents, reports and analyses as requested by the CEO, ensuring timeliness, accuracy, and completeness

    Arrange and facilitate meetings, events and retreats, in coordination with Marketing/Human Resources

    Provide administrative support to the Barron Technician School, in coordination with Human Resources

    Manage and maintain paper and electronic files and records

    Organize and prioritize daily flow of information through assigned channels

    Create and track travel arrangements and prepare travel information

    Assist CEO with budget planning, tracking and reporting credit card expenses

    Answer and screen incoming phone calls on behalf of the CEO

    Proactively take on complex tasks, implement innovative solutions, and execute with minimal guidance

    Maintain absolute discretion and confidentiality

    Receive incoming mail and prepare outgoing mail on behalf of the CEO

    Maintain excellent communication skills (written and verbal)

    Exhibit a confident and calm professional demeanor, with a warm sense of humor

    Continually sharpen Microsoft Office skills

    Effectively multi-task and quickly assess and reassess priorities as needs change

    Exhibit excellent interpersonal and collaborative skills with a proven ability to adapt to different styles and personalities to influence positive group outcomes

    Follow established policies for standard solutions or engage other members of the team for assistance

    Communicate with Executive Team regarding accountability gaps (both reporting and leadership levels)

    Complete other tasks, as assigned

    Required Experience and Qualifications:

    Undergraduate degree preferred; emphasis in business, communications, or related field

    3+ years relevant experience with a demonstrated track record of strong executive and staff support

    Experience in human resources, sales, marketing, or event planning will also be considered

    Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Teams, Outlook)

    High level of adaptability and flexibility; ability to handle sensitive situations and confidential information with discretion

    Strong executive presence and demonstrated leadership skills, solid judgment, and ability to effectively interface with employees and leaders at all levels within the organization

    Self-directed professional with strong interpersonal skills and emotional intelligence

    Excellent verbal and written communication skills

    Strong organizational skills with ability to own and drive project schedule from start to finish, including managing peers and individuals senior to you

    Ability to understand problems, think critically, and identify creative solutions

    High School Diploma or GED required

    Must be at least 18 years of age

    Pre-employment drug screening

    Must be legally eligible to work in the United States

    Compensation:

    Full-Time, Exempt

    Salary $70,000 - $95,000 per year, DOE
