Currently seeking a dedicated, experienced, transaction coordinator who can effectively assist our valued home buyers and sellers from contract to close. Transaction Coordinators working with Bayside agents are expected to provide outstanding service to their agents which include monitoring correspondence and responding (when necessary) outside traditional business hours. Bayside's platform allows the TCs to work thoroughly and remotely thus facilitating an outstanding experience. Applicants should take pride in being an essential team player, providing service and solutions to people, and continually learning and adapting to new processes. Responsibilities: Look over all paperwork to confirm they have the correct signatures and dates, assuring that the closing process has been done accurately and efficiently Save customer information in the CRM system, forward all necessary paperwork to the office broker for file compliance, and track transaction activities Oversee all administrative tasks regarding home buyer and seller transactions from executed purchase agreement to close • Listing/Sale Services - CERTIFICATION - Transaction Coordinator's servicing Bayside agents are to be additionally “Side Certified”. This means that they are all trained on all of the technology platforms used at Side, Inc Brokerage as well as held to a high standard level of service. • Review contract for accuracy and completeness. Submit all listing documents to Bayside's Compliance Manager for review within 48 hours of ratification • Prepare disclosures, order NHD report, collect any related HOA documents, and prep for sale • Confirm accuracy of contact information for all parties related to the transaction • Open escrow with the Agents Escrow officer and submit a complete and accurate Cover Sheet to all appropriate parties • Send an introduction email to the client(s) and other related parties • Set up complete file within Paperless Pipeline • Manage and maintain accurate document statuses, file notes, and communication between related parties WHEN UNDER CONTRACT - • Review contract for accuracy and all signatures. Assist agent with collecting additionally related documents • Obtain or send out disclosures and track all signatures until each document is complete and ready for compliance review • Send out a complete Cover Sheet with a timeline and identifying all parties related to the transaction within 24 hours (cc’ing all parties involved in the transaction with key dates and accurate contact info for all parties related to the transaction) • Upload the executed contract within 48 hours of acceptance for Broker approval • Send reminders to agents for when contingencies are due (Inspections, Financing Approval date, and Appraisal) • COMMUNICATE BETWEEN AGENTS AND COMPLIANCE ON FILE • Regular follow-up and file audits on documents missing signatures or initials • Upon removal of all contingencies provide final terms to Title/Escrow Officer and Loan Officer then advise Agents of any changes, anticipation of docs, and closing instructions • Send a request to the demand team for a Commission Disbursement Authorization CDA to be sent to Title Company/Escrow Agent (not earlier than a week before closing) Email Template • Submit all documents to Bayside's internal Compliance Manager for review in a timely manner as they come • Update document stages throughout the transaction  Qualifications: High school diploma or GED required, preferably some college experience Candidates should be organized and able to communicate written and verbal information to clients accurately and clearly Passionate about providing excellent customer service Previous experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valued What would make you a strong fit for the role? • 2+ years as a Transaction Coordinator • Hands-on Transaction Coordinator experience in CA required • 1+ years in a remote setting • Ability to multi-task and work independently • 2+ years in the Real Estate industry • Transaction Coordinator certification required Compensation: $500 per sale transaction; $150 per lease transaction
