    DEPARTMENT:        Purchasing                               SUPERVISOR: Purchasing Manager

     

    SUMMARY:  Purchases cost-effective commodities, services and materials to ensure uninterrupted production and efficient customer service through vendor negotiations, market research and accurate record keeping.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

     

    Maintains a good company image and supplier relation through daily business contacts.

     

    Interviews suppliers promptly and courteously, and conducts business in a professional manner.

    Searches continuously for improved and/or less costly materials and supplies within the classifications /commodities assigned.  Recommends to engineering and/or other departments, new or alternative materials and revised designs, which can be obtained at a lower cost without sacrificing quality.

    Selects and maintains suppliers using progressive purchasing techniques and methods.

    Advises other departments of any changes in price, procedures, and/or restrictions on materials, which would prohibit timely procurement practices.  Keeps all departments advised of lead times for critical material as necessary.

    Conducts vendor facility visits for purposes of qualifying the supplier’s facilities and capabilities as per ISO 9000 specifications.

    Completes each requisition by selecting the supplier, setting the proper price, studying the terms and conditions of sale, FOB point, and other procurement considerations.

    Expedites deliveries and, where necessary, acquires engineering approval for alternate methods or materials as required.

    Reviews invoices for accuracy and resolves all disputes regarding pricing, delivery, and/or all other issues not in agreement with the purchase order.

    Corresponds, tactfully and professionally, with suppliers to resolve misunderstandings, complaints, etc., or to secure pertinent information regarding procurement issues.

    Negotiates all aspect of the purchase order, which includes but is not limited to, pricing, delivery, and warranties.

    Coordinates the timely repair or warranty replacement of discrepant material and components.

    Maintains records and keeps an accurate and up-to-date database.  Information to include but is not limited to, price history, rejections rate, vendor performance statistics, specification files.

    Ability to read, understand, and interpret engineering drawings and specifications.

    Stays on top of industry sources through ongoing market research.

    Performs miscellaneous assignments as required.

    QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.     EDUCATION AND/OR EXPERIENCE:

    Bachelor's degree (BA) from four (4) year college or university in Material Logistics Management preferred; or three (3) to five (5) minimum years related experience and/or training; or equivalent combination of education and experience.  Technical knowledge is also helpful.

    LANGUAGE SKILLS:

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, vendors, and the general public.

    MATHEMATICAL SKILLS:

    Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry.  Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

    CERTIFICATES, LICENSES, REGISTRATIONS:

    Certified Purchasing Manager (CPM) certification preferred.

    REASONING ABILITY:

    Analytical reasoning is essential when dealing with vendors and the negotiation process.

    OTHER SKILLS AND ABILITIES:

    Working knowledge of personal computers.  Software proficiencies should include word processing, spreadsheet capabilities, and mainframe experience.  Good written and verbal skills are essential.  Responsible for performing all work efficiently and in compliance with quality, quantity, and safety standards as established by Bekum.
