    Job Description

    Bel-Rea Institute of Animal Technology is seeking a highly motivated individual, who is both detail oriented and well organized. The primary role of the Admissions Coordinator is to help coordinate all aspects of the Admissions department, working closely with all Admissions advisors, the Financial Aid department, and the Administration.

    This position is a team position that reports to the Admissions Manager, and to the Director of Business and Financial Affairs. The position is a full time (40 hours/week, weekdays). The position is an in-person, on-campus position.

    ABOUT BEL-REA: Bel-Rea is an AVMA and ACCSC accredited veterinary technology vocational training program in southeast Denver (www.belrea.edu). Since the program’s launch in 1971, over 6600 students have earned an Associate of Applied Science in Veterinary Technology from Bel-Rea.

    With an experienced veterinary faculty, excellent curriculum, well-equipped facility, on-site and off-site labs, and extensive internship program, Bel-Rea offers traditional and non-traditional students the opportunity to gain the solid educational foundation and hands-on experience needed to launch their career in the fast-growing vet tech field.

    ESSENTIAL DUTIES AND RESPONSIBILITIES To be successful in the organization, the Admissions Coordinator must be able to work with diverse contacts and have a high level of professional customer service. The Coordinator tracks incoming student files and follows ASSCS and Dept. of Education Regulations to ensure that all incoming students are eligible to start.

    • Download leads for the day and import into 4D Leads; distribute leads among all Admissions Advisors

    • Process applications and document in 4-D Leads, FileMaker, and the applicant’s physical file

    • Prepare new student packets; the packet includes a letter, contracts, physical form and other information the student may need prior to beginning classes

    • Review and approve high school and college transcripts, GED scores and high school equivalency documents

    • Record transfer of credits based on communication from the Registrar

    • Review and approve physical forms for completeness

    • Review and process records of scholarships offered through Bel-Rea, including applications and awards

    • Update electronic files with any cancellations or changes to the student’s file.

    • Communicate cancelled contracts and reinstated status with appropriate departments within the school

    • Maintain electronic lists of forms needed for incoming students and notify Admissions Advisors of missing forms

    • Maintain a weekly and quarterly report which consists of a current count of the number of contracts, applications, interviews and phone calls, for the upcoming 3-4 start dates; distribute it as appropriate

    • Communicate pertinent information to the Registrar for schedules for incoming students

    • Maintain and update all letters sent to incoming students including: Enrollment Checklist, schedule letter, acceptance letter, orientation letter, etc.

    • Export new student data from FileMaker and Import into 4D S&C prior to schedules being sent, and again prior to New Student Orientation

    • Move cancelled files to storage. Shred cancelled files as appropriate (7 years after date of cancellation) - Work with the Registrar to move all incoming students for the current start date to a separate storage for current students and audit each file

            - Work as a backup for Front Desk Staff to answer phones, help with mailings, and assist students on an ‘as needed basis’

    • Assist with additional projects or duties, as assigned by leadership • Interview/Tour Survey Collection

    • Assist with on-campus and off-campus recruiting, enrollment, and engagement activities with the Admissions Team (i.e. orientation, open houses, career fairs, community events)

    • Gathering of departmental reports on a regular basis (daily, weekly, monthly, yearly)

    EDUCATION AND EXPERIENCE REQUIREMENTS:  Associate or Bachelor’s Degree in a related field are preferred, but not required.

    • The ability to self-motivate, works independently, establish priorities, and balance multiple duties in a results-focused environment

    • Excellent written and verbal communication skills • Positive interpersonal and organizational abilities.

    • The ability to work collaboratively with team members and other departments.

    • A strong understanding of professional practices and protecting confidential information.

    • Strong skills with MS Office and with learning new computer database or reporting systems.

    SALARY AND BENEFITS: Competitive salary commensurate with skills and experience. This position is not eligible for overtime compensation.
