    This is not a clerical position; this job is a bridge between new business and the attorneys. You are the translator to interpret the client’s situation into actionable insights that will enable sound decisions. You are on the front lines in screening for the right kind of people to join forces with our firm. You are the gatekeeper. This is a sacred duty. With training and guidance, you will be (are) required to use your judgment, background, skillset, inquisitiveness, and curiosity to assess, evaluate, and investigate whether or not this is the right case, at the right time, for the right person (and for the right firm. We are not for everyone, but we will try to help everyone who reaches our firm in some small way to reach a better place whether through a referral, or a resource. Skillsets needed: • Authentic Empathy • Friendly, positive disposition • Ability to listen, assess, and make decisions quickly • Ability to ask questions to dig deeply • Discern when to engage, or not • Communicate effectively and concisely in verbal and written format • Enjoys engaging with people who are experiencing stressful situations • Research and investigate issues on the fly to help attorneys make better decisions Position fundamentals: • Understand the Firm’s business • Demonstrated commitment to the Firm’s Values • Understand the fundamentals of what makes a good fit for our firm (client, issue, venue, damages, timing, defendant) • Understand the types of cases that the firm takes, might take, and doesn’t take • Enjoy helping people Responsibilities: • Acts as the first point of contact for the business • Survey potential clients to determine the right fit with our practice, while listening to all phone calls in an empathetic manner • Qualify and screen leads for type of law and potential case score • Schedule qualified leads for initial consultations • Ensure all leads are properly directed through the intake process • Prepare fee agreements and follow up to ensure all prospects sign the agreements • Request appropriate documents from qualified leads • Stay in contact with qualified leads who need to provide documentation • Update the Firm's databases, reports, or spreadsheets to track incoming calls, leads qualified, consultations scheduled, referral sources, and other key metrics • Respond to incoming phone calls and emails and make sure the right people receive all important information • Manage incoming and outgoing mail and handle deliveries • Provide administrative support to other team members with data entry, paperwork, photocopying, etc. when needed • Greet visitors, clients, and fellow employees when they arrive at the front desk and provide them with any necessary directions or information • Organize paperwork and perform data entry in our case management system to streamline new client onboarding and current client files • Assists all staff and performs general office tasks as requested • Performs some Legal Assistant duties as a backup when requested Qualifications: • Excellent interpersonal skills, organizational skills, customer service skills, and verbal communication skills • Must be highly proficient in MS Office applications: Word, Excel, Adobe Acrobat, Outlook, and PowerPoint • At least one year of legal experience preferred • Prior customer service experience preferred • Education and/or work experience equivalent to an Associate or Bachelor's degree preferred • Experience with a CRM, particularly data tracking and reporting, is highly preferred • High attention to detail and accuracy of work with excellent verbal and written communication skills • Demonstrated ability to be motivated, work professionally and confidentially
