    An Office Coordinator is responsible for managing office communications and facilitating key tasks and procedures. Their duties include maintaining a master schedule of all meetings and commitments, placing orders for office supplies when needed and directing both incoming and outgoing calls, emails, faxes and letters.

     

    Essential Functions

    • Answer phone calls and ensure each call is transferred the appropriate party.
    • Greets and screens visitors, routing them to appropriate area or person.
    • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
    • Prepares outgoing mailing and correspondence.
    • Provide administrative support to all departments.
    • Filing and organizing records, invoices, and other important documentation
    • Coordinate’s meetings: booking conference room, making sure necessary IT supplies is available, and coordinating catering.
    • Orders and maintains supplies and arranges for equipment maintenance.
    • Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
    • Exceptional customer service skills and phone etiquette
    • Excellent verbal and written communication skills and demonstrated organizational skills with attention to detail required
    • Proofs estimates & submittals to ensure accuracy & inclusion of all referenced items
    • Accurate & verified entry of all estimates & change orders with Accounts Payable to process
    • Follows-up on all POs associated with respective projects assigned to their project teams
    • Generates & updates ship schedules for all projects assigned to their respective project team(s)
    • Other responsibilities may be assigned.

    Supervisory Responsibility, work environment and physical demands

    • This position has no supervisory responsibility.
    • _This position works in a normal office environment, with standard office equipment. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. _
    • Work is generally sedentary in nature, but may require standing and walking for up to 15% of the time.

    Required Skills

    Through previous background and experience, the candidate must be able to demonstrate, with or without an accommodation:

    • Ability to perform basic math calculations (addition, subtraction, multiplication, division & percentages) accurately & quickly
    • Computer literacy, fast & accurate typing, & excellent data entry skills
    • Strong proficiency with MS Suite Applications & Outlook
    • Full-time experience working with Eclipse Software is a bonus
    • Excellent customer service skills
    • Strong verbal & written English communications skills
    • Prior experience with a bidding system helpful (Lighting quotation programs such as SAW and Cahill)

    Required Experience

    • High school diploma, GRE or equivalent experience is required; some college, an AA degree or other technical training is preferred.
    • Minimum two years’ experience working as a full-time administrative / project assistant, in a similar role is desired.
    • Experience as a contractor inside sales person or management of gear/lighting projects and/or electrical distribution and control projects desired.
    • PC literate with knowledge of MS Office (Word, Excel,& Power Point) as well as Adobe or Bluebeam.
    • Excellent written, verbal, presentation and negotiation skills.
    • Experience managing small projects from start to finish.
