    Position Summary

    The Client-Facing Benefits Compliance Administrator is responsible for ensuring that assigned client groups remain compliant with all Affordable Care Act (ACA) regulations and general employee benefits laws. Acting as a subject matter expert, this role supports clients by managing their compliance reporting, advising on regulatory changes, and maintaining documentation that aligns with federal and state mandates. The ideal candidate will combine regulatory knowledge with outstanding customer service to deliver proactive, consultative support to employers across diverse industries.

    Key ResponsibilitiesClient-Centered ACA Compliance

    • Manage ACA compliance activities for a portfolio of client accounts, including full-time equivalent (FTE) tracking, measurement periods, and affordability analysis.
    • Prepare and file ACA reporting forms (1094-C/1095-C) on behalf of clients, ensuring accuracy and IRS deadlines are met. May include working with outside vendors and managing projects.
    • Educate clients on their obligations under the ACA employer mandate, safe harbors, and common law employee determinations.
    • Identify and resolve discrepancies in client data and provide recommendations for ACA compliance strategies.
    • Maintain detailed client records to ensure audit readiness and reduce risk of IRS penalties.

    Client Support for General Benefits Compliance

    • Advise clients on benefits regulations including ERISA, COBRA, HIPAA, FMLA, Section 125, and state continuation requirements.
    • Monitor legislative updates and proactively inform clients of upcoming changes impacting benefits compliance.
    • Coordinate with client vendors, legal counsel, and internal benefits team to resolve client concerns.

    Client Communication & Documentation

    • Serve as the primary compliance resource for clients and benefits team, providing clear, timely, and actionable guidance.
    • Document all client interactions, maintain records of compliance deliverables, and track status in CRM or case management systems.
    • Conduct periodic client audits and reviews to assess risk exposure and recommend corrective actions.

    Required Qualifications

    • 3–5 years of experience in client-facing benefits compliance, with strong knowledge of ACA and other federal employee benefits laws.
    • Demonstrated ability to manage compliance activities for multiple clients in a high-volume environment.
    • Experience preparing IRS Forms 1094-C and 1095-C.
    • Strong communication skills, with the ability to explain complex regulations to non-technical stakeholders.
    • Proficiency in Excel and familiarity with HRIS and compliance systems used in client support.

    Preferred Qualifications

    • Bachelor’s degree in Human Resources, Business Administration, Health Policy, or a related field.
    • Previous experience working in a Professional Employer Organization (PEO) environment.
    • Experience with benefits administration platforms or ACA compliance vendors (e.g., ADP, Equifax, Prism HR or Worklio).
    • Relevant certifications such as ACA Compliance Specialist a plus.
    • Experience with Salesforce a plus.
    • General working knowledge of benefits regulations (ERISA, COBRA, HIPAA, FMLA, Section 125, and state continuation requirements.)
